Job Title: Office Manager

Job Summary:
We are seeking a highly organized and detailoriented Office Manager to support our teams administrative needs. The successful candidate will be responsible for ensuring the smooth daytoday operation of the office providing exceptional customer service and contributing to the overall success of the organization. This is an excellent opportunity for a motivated and proactive individual to take on a leadership role in our office.
Key Responsibilities:
  1. Administrative Support:
    • Provide administrative support to senior leadership and other departments as needed.
    • Maintain accurate and uptodate records files and databases.
    • Manage office supplies equipment and services.
  2. Onboarding and Training:
    • Coordinate the onboarding process for new employees including orientation paperwork and benefits enrollment.
    • Develop and maintain training materials and procedures to ensure new hires are familiar with company policies and procedures.
  3. Leadership Support:
    • Assist senior leadership in various administrative tasks such as preparing reports agendas and other documents.
    • Provide input and recommendations on office operations processes and procedures.
  4. Billing and Receiving:
    • Manage the billing process including generating invoices tracking payments and resolving any discrepancies.
    • Process payments receipts and other financial transactions.
  5. Collections and Followup:
    • Identify and follow up on past due invoices to ensure timely payment.
    • Communicate with clients to resolve any issues or disputes related to billing.
  6. General Office Manager Responsibilities:
    • Maintain a safe and healthy work environment by adhering to company policies regulations and procedures.
    • Manage the office calendar schedule appointments and coordinate meetings as needed.
    • Ensure compliance with company policies laws and regulations.
Requirements:
  • High school diploma or equivalent required; associates or bachelors degree preferred.
  • 23 years of experience in an administrative role preferably in a similar industry or environment.
  • Excellent organizational communication and problemsolving skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Proficient in Microsoft Office Suite (Word Excel Outlook) and Google Suite; experience with other software applications an asset.
  • Strong attention to detail and ability to prioritize tasks effectively.
Working Conditions:
  • This is a fulltime position working 40 hours per week.
  • The office environment is fastpaced but the pace can vary depending on project demands.
