Inventory Clerk
Location: Toronto661 University
Department: Inventory Management
To provide inventory management services which includes ordering storing pick and pack activities shipping receiving and management of raw materials components and finished products as well as warehousing and processing of items.
Key Responsibilities
- Receives unpacks count track and checks incoming laboratory and other supplies ensuring that goods are either stored or delivered as per specifications and completed related paper work such as signing delivery slips;
- Match goods received against packing slips and enters goods received into computer system matching against applicable purchase order and advises Procurement staff of discrepancies (e.g. back orders quantity issues missing items) for resolution;
- Maintains various documents including records of received goods including packing and delivery slips as per retention policy;
- Puts away warehouse products or completes internal delivery of supplies as required within the central lab and shipping of product to regional labs ensuring appropriate documentation is completed and retained; Ensures that all perishable goods gas cylinders solvents and acids are properly stored secured and delivered according to established safety procedures;
- Prepares inventory and stock replenishment documentation or requisitions for warehouse and other storage areas;
- Pulls stock of various components from shelves to provide staff to assemble kits forms shipment to external clients ensuring stock levels are maintained;
- Print picking slip prepares packaging picks packs and ships goods against requisitions received from internal and external customers;
- Handles goods completes waybills and arranges for courier and freight shipments to external and internal customers;
- Maintains inventory records and controls generating of reports as required and monitoring stock levels periodically and annually;
- Identifies and coordinates the return of damaged or spoiled/expired goods to suppliers; completes appropriate documentation and coordinates transportation;
- Operates and maintains forklifts and other heavy equipment in the performance of work;
- Performs other duties including visual check on warehouse safety;
- Ensure solvents and acids are properly stored secured and delivered according to established safety procedures;
- Provides coverage and coordination for replenishment of warehouse stocks items including purchase and expediting of orders;
- Other duties as assigned.
Knowledge and Skills
- Knowledge of Transportation of Dangerous Goods (TDG) regulations and customs documentation PHOL training and certification in the handling of dangerous goods;
- Knowledge of PHOL stock keeping procedures and practices to process maintain and ship supplies and to maintain the stockroom;
- Knowledge of supply tracking and inventory control including the use of relevant data systems (Sage Accpac);
- Computer proficiency in the use of database inventory control systems and basic knowledge of MS office Word and Excel;
- Knowledge of WHMIS to handle toxic substances.
- Oral communication and interpersonal skills to arrange rush transport jobs with the PHOL transportation service provider;
- Oral communication and interpersonal skills to respond to inquiries and status of goods from PHOL central and regional sites;
- Oral communication skills to advise procurement staff of short shipments and other issues as they arise.
Education and Experience
- High school diploma and certificate to operate forklift and heavy equipment;
- Minimum 1 years experience in a similar role;
- Experience with ERP systems such as Sage is preferred.
Attributes and Competencies
- Works within established warehouse procedures and relevant safety regulations;
- Ensures requisitioning and replenishment of inventory into daily picking locations reconciling quantities vs availability;
- Enters all goods received into computer system matching against applicable purchase order and resolving related discrepancies (e.g. back orders quantity issues missing items) in conjunction with procurement;
- Fills client orders after checking daily backorder and inventory reports prior to picking and shipping quantities based on review of these reports;
- Flags issues to management in a timely manner and informs manager of possible backorder/possible low inventory issues before they occur.
- Works in a warehouse setting within a laboratory facility where there is frequent potential for exposure to hazardous.
- Frequent requirement to work within established timelines and in some case rush deadlines for the transport of goods.
