Job Description Summary
Reporting to the Law Library Director this position is responsible for the financial and accounting activities of the Darling Law Library requiring an understanding of library operations and functions. This position also provides administrative support to the director and law library departments updates materials in the library collection and contributes to the quality control in the librarys integrated library system.
Responsibilities
Financial and Accounting Support Manage processing and payment of law library invoices. Verify receipt of library materials and confirm purchase order information. Monitor and reconcile library funds and purchase orders in PeopleSoft. Create and edit checkin holdings and invoice records in Sierra ILS and process for payment in Sierra and PeopleSoft. Assign fund codes obtain payment authorizations and send invoices to Accounts Payable. Coordinate with counterparts in the School of Law and University Departments. Communicate with library vendors place claims review account statements identify and resolve payment problems and discrepancies. Maintain library invoice and financial records. Assist with fiscal yearend accounting procedures. Assist with University systems (Concur Canvas). Perform other duties as assigned. Collections and Database Quality Control Process cancellations and returns. Assist with filing updates for print materials. Maintain serials/routing distribution lists. Maintain holdings for print and electronic serials. Assist with database and collection maintenance projects as assigned. Write and update procedural documentation. Perform other duties as assigned. Administrative Support to Director & Law Library Departments Retrieve sort and distribute library mail. Retrieve and route library material to faculty. Assist with giving direction to student workers on library tasks. Maintain the librarys annual calendar. Provide circulation coverage as needed. Perform other duties as assigned.
Required Qualifications
Proficiency with Microsoft Office (Word Excel Outlook and PowerPoint). Strong service orientation and problemsolving skills. Ability to exercise independent judgment to conceptualize communicate and coordinate complex activities and projects. Strong interpersonal skills to work with diverse groups at all organizational levels both inside and outside the University. Demonstrated writing skills and strong attention to detail; ability to produce clear concise accurate documentation. Ability to independently prioritize tasks when faced with interruptions and fluctuating workload. Ability to use tact and diplomacy and maintain confidentiality. Bachelors degree or an equivalent combination of education and experience.
