Carriage Inn Lake Jackson has an outstanding opportunity for a Business Office Manager to join our team. The Business Office Manager primarily oversees all community accounting functions including accounts payable accounts receivable thirdparty billing and resident inquiries. Additionally the Business Office Manager is the primary point of contact for human resources related functions and directly supervises the front desk/concierge staff. The Business Office Manager is always ready to assist other key roles within the community when needed.

Shifts:

  • 8:00 a.m. 5:00 p.m.
  • Monday Friday
  • May be required to fill in for Concierge & Driver positions as needed.
  • Weekend and Holidays in MOD rotation.

Responsibilities Include:

  • Responsible for of all business office functions to include accounts payable accounts receivable billing and resident inquiries.
  • Responsible for all accounting related to documenting preparing and distributing resident statements.
  • Responsible for aging/pastdue account collections and analysis. Follow company collection policies and procedures to eliminate / reduce delinquent accounts. Makes recommendations to Executive Director regarding writeoffs.
  • Respond to the needs of residents families and visitors by providing immediate and courteous assistance.
  • Assist in resolving customer financial disputes.
  • Responsible for the management of front desk/concierge staff including hiring and scheduling.
  • Assist all hiring managers with the recruiting and hiring process.
  • Ensures timely submission of biweekly payroll processing. Primary backup for all timecard processing.
  • Schedules new hire orientation and leads assigned segments.
  • Submits employee changes such as pay increases change in position or status and terminations timely.
  • Maintains onsite employee files in accordance with all company state and federal requirements.
  • Tracks and assures all certifications and licenses are current and any annual reports are requested and processed.
  • Responsible for ordering office supplies and other office function requirements within budget.
  • Participates in the Manager on Duty rotation.
  • Member of the communitys emergency response team.

Requirements:

  • Able to demonstrate proficient use of resident billing software.
  • HS Diploma or GED required associate degree or above in accounting finance or human resources preferred.
  • 1 year of prior supervisory experience.
  • 23 years of related experience preferred.
  • Valid state drivers license and clear driving record that meets the requirements of our insurance carrier and company policy.
  • Experience with basic computer skills in Word and Excel.
  • Experience with resident billing software Yardi a plus.
  • Excellent communication and customer service skills.
  • Ability to communicate effectively with residents and colleagues.
  • Ability to speak read & write English.
  • Must be willing to undergo a routine background check.
