Position Overview

The Illinois Department of Corrections (IDOC) is looking for a dynamic detailed oriented person to serve as the Assistant Chief Northern Region Record Office andAssistant Chief Southern Region Record individual will oversee the functions of Record Offices located in the Southern or Northern region of Illinois for IDOC. The ideal candidate would be well versed in criminal sentence calculations laws pertaining to criminal sentencing structure and have experience interpreting court orders and opinions related to sentencing. A background in the management of official records would be beneficial. This is an opportunity to work in a fastpaced job with an incredible team. Essential Functions

  • Plans directs controls and evaluates the management of Records offices for the Northern/Southern region.
  • Serves as Assistant Chief Record Officer.
  • Schedules and conducts quarterly meetings with Northern Region Record Office personnel.
  • Serves as a liaison between institution Record Offices Parole Offices Community Correctional Centers Institutional Field Service Offices City State Federal law enforcement and judicial entities to facilitate flow of information and disseminate new information.
  • Monitors and directs Record Office staff in the Northern region.
  • Attend meetings with and for the Chief Record Officer.
  • Represents agency at hearings to provide testimony on record office decisions relating to calculations effecting individuals in custody records and releases.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  • Requires knowledge skill and mental development equivalent to completion of four 4 years of college preferably with courses in business or public administration.
  • Requires prior experience equivalent to three 3 years of progressively responsible administrative experience including significant experience in an area related to records management record retention and Juvenile and Adult sentencing laws and sentence calculations.

Preferred Qualifications

  • Prefers at least five 5 years of professional work experience reviewing and interpreting sentencing laws.
  • Prefers at least five 5 years of professional work experience conducting and completing sentence calculations.
  • Prefers at least five 5 years of professional work experience implementing policy and procedures at an organization.
  • Prefers at least five 5 years of professional work experience drafting correspondence or memoranda to upper management or outside entities.
  • Prefers at least five 5 years of professional work experience obtaining and verifying information pertaining to court sentencing documents from the clerks of the court or other pertinent sources.
  • Prefers at least five 5 years of professional work experience reading and interpreting court opinions related to criminal convictions.
  • Prefers at least five 5 years of professional work experience in relation to laws pertaining to the transfer of custody from one jurisdiction to the other.
  • Prefers at least five 5 years of professional work experience responding to upper management in regards to general inquiries.
  • Prefers at least five 5 years of work experience training staff on organizational processes.
  • Prefers at least five 5 years of professional work experience serving as a subject matter expert in court hearings in regards to record office processes and procedures.

Condition of Employment

  • Requires the ability to pass the IDOC/IDJJ background check.
  • Requires the ability to pass a drug screen. The use of unauthorized regardless of the position held is prohibited.
  • Requires ability to travel in the performance of duties with overnight stays as appropriate valid drivers license.
