AMBASSADOR PROGRAM COORDINATOR

Job Summary
The Ambassador Program Coordinator supports the Programs team working closely with the Ambassador Program Lead to ensure the successful delivery of Hackergals National Ambassador Program. This role is responsible for supporting the annual recruitment onboarding and program delivery of each new cohort of Ambassadors throughout the program.
Key Responsibilities:
- Support the annual recruitment and onboarding of each new Ambassador cohort including assessing applications coordinating interview schedules and cofacilitating training workshops based on multiyear program structure.
- Foster warm supportive and responsive relationships with Ambassadors serving as a consistent point of contact and tracking participation.
- Support the organization of Ambassador Coding Clubs including email communications checking attendance attending onboarding sessions and observing club facilitation.
- Support ongoing engagement and communications with stakeholders (Ambassadors parents teachers etc) throughout the program including regular emails and virtual meetings to support progress troubleshoot challenges and provide reminders and encouragement.
- Coordinate and actively facilitate virtual Ambassador Program events alongside Ambassador Program Lead.
- Take initiative in managing components of program logistics and delivery independently (e.g. event prep feedback survey collection)
- Organize and mail packages of swag to Ambassadors across Canada.
- Participate in and host weekly virtual meetings and workshops with Ambassadors teachers and community members accommodating their time zones (EST PST MDT CDT).
- Assist in preparing and formatting programrelated documents (e.g.. promotional materials lesson plans presentations video tutorials internal trackers etc..
- Maintain and update program statistics and feedback pre and postprogram delivery to support Hackergals impact and evaluation strategy.
- Work collaboratively with the Marketing Team to support Ambassador spotlights storytelling and recruitment efforts.
- Liaise with team members from sponsor and partner organizations to coordinate logistical arrangements and schedules for programming.
- Maintain all trackers spreadsheets calendars data points and other administrative tasks.
- Support the creation of a fun inclusive and empowering virtual community for Ambassadors through thoughtful communication!

- We are a teamoriented organization that values collaboration and mutual support so additional responsibilities may be assigned as needed.
- Flexible schedule required for this role as there will be consistent weekend/evening work to support this extracurricular program. We have a flexible work week policy to accommodate any evening/weekend work!
- Coordinate Ambassador involvement in the Hackathon Program during Hackathon season
- Some travel may be required either locally or nationally to support organizations program delivery.

- Excellent sense of organization ability to set and maintain deadlines keep yourself organized utilize tools and maintain an organization system.
- Confidence using virtual collaboration and communication tools (Zoom Slack Google Suite) including live troubleshooting and support during events
Desired but not required:
- Bilingual: French/English
- Knowledge of Scratch HTML/CSS and Python!
