Description

The Onboarding Specialist is pivotal in welcoming new employees and ensuring their smooth integration into the company. This position involves coordinating and executing the onboarding process facilitating orientation sessions and providing ongoing support to new hires as they acclimate to their roles and the organizational culture. This position will be onsite Monday through Friday and if needed weekends.


Duties and Responsibilities:

  • Assist in the management of the company onboarding program.
  • Oversee new hire orientations and onboarding plans in assigned area first day; paperwork; trainings; and educating new hires/agency/volunteers and interns on HR policies internal procedures and regulations.
  • Assist when needed with recruitment and staffing logistics including posting positions reviewing resumes scheduling interviews reference checks offer letters background checks and prehire logistics and file organization.
  • Assist with Relias.
  • Serve as the primary point of contact for new employees when they start addressing their questions and concerns throughout the onboarding process.
  • Collaborate with HR hiring managers and department heads to gather necessary paperwork and meet all preemployment requirements.
  • Provide guidance and monitor the progress of new hires during the onboarding period identifying any challenges or areas for improvement.
  • Collect feedback from new employees to continuously enhance the onboarding and NEO experience.
  • Collaborate with crossfunctional teams to streamline onboarding processes and improve efficiency.
  • Stay updated on best practices in onboarding and employee orientation incorporating new ideas and strategies as appropriate.
  • Help maintain accurate employee records both physical and electronic.
  • Stay up to date on employment and labor laws.
  • Set agency example with respect to accurate complete and timely submission of HRrelated documents such as timecards open enrollment items annual signoffs and training.
  • Communicate clearly with the supervisor on tasks projects questions and concerns.
  • Be prepared for meetings and discussions by becoming familiar with the agency and attendees and anticipate data that might be helpful to the conversation.
  • Engage in teambuilding discussions. Avoid discussions or activities that are detrimental to department confidentiality and integrity.
  • Other duties as assigned.
Requirements

Required Skills and Abilities:

  • Knowledge of general human resource policy and procedure.
  • Ability to maintain the integrity and confidentiality of human resource information files and records.
  • Good knowledge of employment/labor laws.
  • Excellent communication and people skills.
  • Strong understanding of onboarding best practices.
  • Detailoriented with strong organizational skills.
  • Ability to manage multiple tasks and prioritize effectively in a fastpaced environment.
  • Adaptability and flexibility to meet the evolving needs of the organization.

Minimum Training and Experience:

  • Associates degree in human resources or other closely related field.
  • At least two 2 years applicable experience in Human Resources and onboarding and recruiting.
  • Requires a valid drivers license and personal transportation for occasional travel to other locations.

Physical Requirements:

  • The abilities to sit stand walk go up and down stairs operate foot and hand controls use a telephone or computer keyboard and write.
  • Must be able to lift and/or move up to twenty 20 or more pounds at times.
  • The abilities of accurately perceiving sound near and far vision depth perception handling and working with files materials and objects and providing oral information.
