We are seeking a detailoriented and organized Procurement Administrator to join our dynamic procurement team. This role is responsible for supporting the procurement function by managing purchase orders tracking inventory levels and ensuring efficient and costeffective acquisition of goods and services. The Procurement Administrator will collaborate with suppliers internal stakeholders and team members to maintain a smooth procurement process.
Key Responsibilities:
Purchase Order Management: Process and track purchase orders (POs) for goods and services. Ensure timely delivery and follow up on order status as needed.
Vendor Management: Assist in maintaining relationships with suppliers and vendors including negotiating terms and evaluating performance.
Inventory Tracking: Monitor inventory levels and reorder materials as needed to ensure the availability of products for daily operations.
Documentation and Reporting: Maintain accurate records of procurement activities including purchase orders contracts and delivery schedules. Generate reports on procurement activities as required.
Compliance: Ensure compliance with company policies procedures and relevant regulations in all procurement processes.
Invoice Management: Work closely with the finance team to match invoices with purchase orders and resolve any discrepancies in a timely manner.
Data Entry and System Maintenance: Accurately input procurement data into internal systems ensuring all information is uptodate and readily accessible.
Market Research: Assist in researching potential suppliers gathering quotes and evaluating product quality and prices.
Team Support: Provide administrative support to the procurement team including scheduling meetings preparing documentation and other ad hoc tasks.
Qualifications :
Skills:
Strong organizational and timemanagement skills.
Excellent attention to detail and ability to manage multiple tasks simultaneously.
Strong communication skills both written and verbal.
Proficient in Microsoft Office Suite (Excel Word Outlook).
Experience with procurement software or ERP systems is a plus.
Knowledge:
Basic understanding of procurement processes and supply chain management.
Familiarity with inventory management practices.
Knowledge of vendor negotiation and contract management is advantageous.
