Job Description

The Procurement specialist plays an essential role in growing our purchasing scope withinour business through efficient processes collaboration and sharing best practices with the Procurement team. You know how tobe curiousabout opportunities and how tobe realwith feedback and support.

In this role you will be responsible for managing the flow of raw materials and packaging to the factory to fulfill production requirements and ensure daytoday operations run smoothly. You will work closely with the entire Procurement team as well as Buying Freight Accounts Payable Goodsin and other teams within the business.

Reporting to the Procurement Manager the Procurement Specialist undertakes the followingRESPONSIBILITIES:

  • Monitoring and validating the material requirements in the system placing orders with suppliers and delivery to the factory
  • Scheduling pickups with carriers and monitoring in transit shipments to ensure their timely arrival
  • Ensuring optimization of transportation capacity and cost efficiency when scheduling pickups/arranging deliveries
  • Identifying supply constraints (shortages/delays) and risk to production working with suppliers on resolving these constraints and minimizing the impact
  • Considering alternative plans (approved secondary sources) to bridge supply gaps and select the best plan of action
  • Providing clear and open communication with the Production regarding the status of materials ordered (fulfillment shortages order delays etc.
  • Promptly reacting to demand changes with order adjustments communicating changes to vendors
  • Managing inventory holdings on both costs and keeping it in balance between the factories
  • Managing tightly seasonal inventory and facilitating timely inventory clean up (transfers to X warehouse or disposal)
  • Working with the suppliers on resolving quality issues requesting credits and facilitating material returns
  • Timely processing of invoices and credit notes ensuring our account is in good standing
  • Resolving invoice/PO/receipts discrepancies issues with Accounts Payable or Receiving Teams
  • Performing purchasing related data maintenance (Safety stocks trade agreements approved suppliers lead times coverage group updates buyer group etc.
  • Measuring the performance of suppliers based on existing agreement/specific criteria and providing them with feedback
  • Keeping up to date with the upcoming launches production changes and discontinuation of products by attending production meetings (Manu mafia morning Huddles Scrum etc.
  • Raising any concerns regarding potential out of stock issues to Procurement Manager Production and Demand Planning teams
  • Proactively building and maintaining good relationships with suppliers well as internal Teams such as Buying Production Rooms Receiving Freight AP Compliance and others

You bring the followingQUALIFICATIONS:

Required:

  • Knowledge of Microsoft Dynamics AX
  • Intermediate proficiency with Google Workspace (Docs Sheets Slides etc.
  • Intermediate proficiency with Microsoft Excel/Google Sheets and ability to do VLOOKUPS Pivot tables basic formulas etc.
  • Proven working knowledge of Inventory Management Principles
  • Effective communication skills
  • Relationship building skills
  • Attention to detail
  • Ability to respond to urgent tasks and follow up on rapid changes occurring in the process
  • Time management skills
  • Serviceoriented mindset and diligent followup abilities
  • Analytical and problemsolving skills
  • Ability to recognize the longterm goals to be achieved while working through daytoday tasks

Preferred:

  • College diploma or University degree in Business Purchasing and/or Supply Chain
  • Purchasing experience and understanding of the supply chain
  • Experience with inventory management
  • Commitment to high ethical standards and values of sustainability
