- High School Diploma or General Education Degree (GED) andadditional business/secretarial courses;
- 23 years secretarial experience in progressively responsiblepositions preferably in a school system;

- Read and interpret documents such as work orders safety rules and handbooks and apply to job duties.
Essential Functions:
- Work with the Director and Assistant Director to manage the work order system
- Maintain District building maintenance records
- Process daily expenditures by the maintenance staff
- Order department equipment and supplies as needed
- Assists Director and Assistant in managing the time sheets for staff
- Maintain building blueprints
- Assist in hiring reference checks
- Prepare new employee HR documents
- Assist with budget oversight with the Finance department
- Procure building construction documents and review them for proper submittal
- Screen vendor appointments
- Prepare bid packets
- Procure supplies and services for the District
- Assist in the preparation Board of Education documents for the Facilities department
- Maintain budget records for purchase orders
- Oversee maintenance of Facilities employee records
- Submit monthly reports to the Director and Asst. Superintendent of Operations
- Maintain financial records for new construction
- Athletic event scheduling for stadium maintenance workers
- Assist in the maintenance of the building security system for all buildings
- Track utility usage for all District buildings
- Use financial software for budget tracking
- Build spreadsheets for various projects
- Assist the Director in clerical duties related to Capital Outlay planning and expenditures
- Use document sharing software
- Assist in the approval for custodial supply orders
- Organize annual inventory
- Maintain staff seniority list
- Carry out all other duties as assigned
Physical Demands:
While performing the duties of this job the employee is regularly required to walk talk and hear. The employee frequently is required to stand or sit. Specific vision abilities required by this job include close vision distance vision and depth perception. The employee must be able to lift 25 pounds.

Conditions and Environment:
The individual who holds this position will regularly work in a school environment that is noisy and active. Occasionally the individual will be required to work outdoors for short periods of time to perform such tasks as loading and unloading students from district transportation and supervising recess.
