Summary of the work unit:

Colorado Mental Health Institute at Pueblo (CMHIP) is an acute care psychiatric hospital that provides comprehensive psychiatric treatment services medical services by multidisciplinary treatment teams. This includes: 24hour nursing care and assessment; psychiatric intervention and evaluation; psychological services; psychosocial services; Occupational Therapy; Educational and Vocational Rehabilitation services; Recreational Therapy; and other services required of an acute care psychiatric hospital licensed in the state of Colorado. CMHIP provides psychiatric services for adolescent adult and geriatric patients.





Description of Job


Summary of the position:

Under the direction of the Director of Operation the Program Coordinator collaborates with all departments to support the delivery of patient care. The Program Coordinator will oversee the program functions over the Adolescent Behavioral Treatment Unit. They will provide guidance through coordination with the multidisciplinary healthcare team to facilitate compliance with regulatory agencies standards of care and hospital policy and procedures regarding delivery of patient care. Responds and plans for program services based on the community mental health system needs and demands. Responds to and assists with requests regarding data for these programs. Coordinates with the Department of Public Safety and Division of Facility Management for the safety and security of units patients and staff.


Job Duties:

Program Administration and Unit Coordination:


Safety and Security/Regulatory Compliance:

  • Collaboration with the other departments provides ongoing assessment of patient safety patient security needs and adherence to safety/security fire code policies and procedures
  • Provides training of staff regarding risk management issues policies and procedures
  • Reviews CMHHIP policy/procedures and provides recommendations to revise/update current policies to meet daily operations safety and security
  • Conducts weekly environment of care rounds of all assigned units inspecting patient rooms and patients living areas to ensure compliance
  • Inspects patient furniture for damage and reports all damaged or broken furniture to Hospital Operations to ensure the item is taken out of service
  • Implements quality changes documented as necessary by the Quality Management Department during tracers designed to maintain regulatory compliance
  • Facilitates monthly Instant Action Plan and educates corrects improves processes to ensure unit meets regulatory requirements
  • Conducts rounds on all assigned units and works in collaboration with Lead Nurse to correct all deficiencies noted during EOC rounds
  • Monitors/Ensures for completion of the following on a monthly basis or as indicated

  • Assists in fire drills sends completed fire drill forms to Safety & Risk Manager in accordance with policy
  • Conducts nit searches per policy coordinates unit searches with other departments when required
  • Provides monthly unit search form to the Director of Operations no later than the first week of the next month
  • Verifies that all disaster pack equipment is accounted for and lock is intact on a monthly basis
  • Signs off on verification form and forwards to Safety & Risk manager within set deadline allowance
  • Collaborates with the Senior Program Coordinator this position updates unit specific safety data sheet (SDS) manual hazardous material (HazMat) inventory and provides organization HazMat education material to unit staff yearly
  • Forwards issues related to noncompliance with training to the Director of Operations

Fiscal Duties:

  • Reviews requests and sends them to the Director of Operations for approval of all unit purchases; reviews items requested and submits approval through the CMHHIP Item Approval Form
  • Tracks purchases and spending for CMS/PBS incentives while ensuring that unit is staying within budget and not overspending
  • Assists in ordering and shopping for patient holiday orders to include special functions such as Thanksgiving and Christmas meals and gifts for patients. Monitors that the PCARD process is followed after completing PCARD training
  • Reviews items requested and submits approval through the CMHHIP Item Approval Form
  • Establishes identified backups are in place for emergent purchasing during leave periods.

Agency Representative / Work Unit Liaison:

  • Reviews/Initiates all Adolescent Behavioral Treatment Unit Building special maintenance requests for necessity prior to forwarding to Risk Management Facilities Management (DFM) and CMHHIP Public Safety (DPS)
  • Liaison to Facilities Management and Safety Risk Management for the allocation and distribution of keys (including DPS) completion of work orders building repairs improvement projects and modifications
  • Oversee furniture fixtures and equipment (FFE) repairs by coordinating repair or replacement of damaged FFE with Director of Operations

Work Leader/Project Leader:

  • Project leader over designated Administrative Assistant IIIs Health Professional IIs or other disciplines of the assigned department
  • Responsible for direction and assistance to staff assigned to assigned units while working in conjunction with the Director of Operations
  • Responsible for working with the Director of Operations to ensure all program services provided on the assigned unit are delivered correctly
  • Responsible to ensure all assignments and duties are completed and in compliance with CMHHIP policies and procedures while working in conjunction with the Director of Operations. Staff are notified promptly of changes to processes policies and procedures through communication methods to include Cornerstone meetings email and individual contact. Individual coaching sessions are conducted regularly with assigned staff.

Experience Only:

Seven 7 years of relevant experience in an occupation related to the work assigned
to this position

OR


Education and Experience:


A combination of related education and/or relevant experience in an occupation
related to the work assigned to this position equal toseven 7 years



Conditions of Employment:
  • Full Background Check
  • 2step TB (tuberculosis) screening
  • Other vaccinations as required by the State of Colorado.

  • Prior experience working with adolescents.
