Office Coordinator

Learning Center

Tsaile Campus


Duty Schedule:

Monday through Friday 8 am 5 pm 40 hours per week. Flexible schedule to include evening and/or weekend. Assist with special projects.

Summary/Objective of Position:

The Office Coordinator plays a key role in ensuring the efficient and smooth operation of the center by providing administrative support to the management team staff and students. This position involves interacting with visitors handling internal and external communication collect and organize data; assist with the of workshops. The Office Coordinator works closely with the Learning Center Manager to assist with daytoday operations activities and maintain a welcoming organized environment; and facilitate the Centers effectiveness and efficiency.

Communication & Support 20

  • Answer and direct incoming phone calls respond to emails and address inquiries professionally and on time.
  • Provide inperson support to students staff and visitors offering information and assistance as needed.
  • Serve as a point of contact for general inquiries and assist with resolving issues or redirecting queries to appropriate staff to departments.

Workshop Assistance 20

  • Assist in the coordination and of workshops including preparing materials setting up spaces and ensuring that all logistics are in place.
  • Provide support during workshops by assisting with attendee registration offering administrative support and addressing participant questions.
  • Help facilitate the smooth flow of events and ensure that all necessary resources are available.
  • Public speaking: Deliver presentations announcements and lead group discussions during workshops events or orientations.
  • Engage with participants to encourage interaction and support learning objectives.

Data Collection & Reporting 20

  • Collect and organize data for reports including attendance records student feedback and workshop participation.
  • Assist with maintaining accurate records of learning center activities and input data into relevant systems or databases.
  • Support the preparation of reports by gathering data tracking progress and ensuring timely submission to the Manager.

Administrative Support 20

  • Provide administrative assistance to the Learning Center Manager including scheduling meetings managing calendars and assisting with special projects.
  • Assist with preparing and managing materials for workshops and training sessions.
  • Help maintain office supplies ensuring the learning center is wellstocked and organized.

General Office Duties 10

  • Perform general office duties such as filing organizing document and maintaining an efficient office environment.
  • Handle routine administrative tasks and ensure that all correspondence materials and documentation are handled professionally.

Knowledge:

  • Knowledgeable with FERPA policies to demonstrate commitment to student confidentiality.
  • Possess strong organizational and time management skills.
  • Ability to work independently.
  • Ability to interact in a professional manner with students staff faculty and the general public.
  • Professional appearance and demeanor.

Skills:

  • Demonstrate proficient skills with both computer hardware/software i.e. Microsoft Office.
  • Must have strong project management and organizational abilities and skills.
  • Demonstrate strong written and verbal communication skills written oral active listening and interpersonal skills.
  • Work effectively in team situations.
  • Excellent customer service skills using tactfulness and diplomacy; professional and pleasant office manner.

Abilities:

  • Ability to collect and organize data.
  • Ability to prioritize information in a timely manner.
  • Ability to communicate clearly by phone and in person.
  • Ability to handle multiple tasks and issues complete assignments in a timely manner.

Physical Requirements Work Environment & Travel:

Possess a valid state issued Drivers License. Complete the defensive driving course to operate government vehicles. Attend and complete the First Aid and CPR training. Able to lift 25 lbs. and move equipment in the Learning Center.

Other Requirements:

Oral fluency in Navajo is highly desirable but not mandatory.

Education and Experience:

Minimum:

Associate degree in education social/behavioral science or related field plus twoyears of experience working with students in a Higher Education setting.

Preferred:

Bachelors degree in education counseling higher education or related field plus oneyear of experience working with students in a high Education setting.
