DescriptionHennepin County District Court invites qualified applicants for an Office Assistant III position assigned to the Psychological Services Division.
This is a highly responsible professional and administrative position that supports the Psychological Services division and provides exceptional customer service primarily to internal stakeholders (examiners judicial officers etc. as well as external customers who may be highly stressed and emotionally reactive.
This AFSCMErepresented position is classified as Office Assistant III. The Psychological Services Division is located on the fifth floor of the Hennepin County Government Center at 300 South 6th Street C509 Minneapolis MN 55487.This is a hybrid role working both onsite and remotely depending on business needs with typical hours between 8:00 a.m. 4:30 p.m. Monday Friday. A reliable internet connection will be required if working remotely.

- Work individually and as part of a team to effectively complete administrative duties that will support the divisional goal of timely and accurate completion and submission of court ordered evaluations.
- Perform records requests and management and communicate with internal and external business partners to ensure correct records are provided in a timely manner appropriate procedures are followed and examiners have the necessary information to complete evaluations.
- Prepare and distribute professional case related communications between internal and external stakeholders.
- Complete case closings including accurate and timely generation of state invoices on behalf of the psychologists.
- Provide professional and respectful customer service to internal and external customers some of whom may suffer from mental illness chemical dependency homelessness and/or other difficulties; and may present as distraught angry and/or challenging either inperson over the phone or through electronic means.

Minimum Education and Experience:
- Possession of an Associates degree from an accredited college or university in business secretarial sciences or related field or graduation form an approved high school or vocational school.
- ORconsiderable office clerical or secretarial experience. (for example: court clerk legal assistant medical billing specialist etc..
- Recent experience using electronic document applications (e.g. Microsoft Office Suite Google Docs SharePoint or Adobe Acrobat) and modern office equipment.
Minimum Knowledge Skills and Abilities
- Professional customer service and interpersonal skills with the ability to interact effectively with potentially distressed customers that suffer from mental illness.
- Ability to communicate clearly and concisely both verbally and in writing.
- Highly motivated and teamoriented with a positive attitude and the ability to establish and maintain effective working relationships with others.
- Ability to use independent judgment and prioritize work assignments to effectively manage a substantial volume of work under tight and often competing timelines.
- Well organized detailoriented and analytical
- Excellent attention to detail and accuracy
- Skill in using electronic document applications such as Microsoft Office Suite Adobe Acrobat SharePoint and experience with computer files. Must also have the ability to learn other jobrelated software.
Preferred Qualifications
- Associate degree from an accredited college or university in business secretarial sciences or a related field.
- Experienced in Microsoft Office Suite SharePoint and Adobe software.
- Experience with digitizing paper documents organizing electronic files and managing tasks and document workflows through SharePoint request queues.
- Experience using the Minnesota Case Information System (MNCIS).
- Knowledge of the court or legal system.
- Demonstrated ability to use independent judgment and prioritize work assignments to effectively manage a substantial volume of work under tight and often competing timelines
SALARY:
The expected starting salary range for candidates is $20.43 $27.42 per hour $42657 $57252 annually). The full salary range for this position is $20.43 $34.41 per hour $42657 $71848 annually). This position is nonexempt under the Fair Labor Standards Act and is eligible for State of Minnesota employee benefits.
