Job Summary

Under general supervision coordinates assigned employee duties and manages allocation of personnel resources in assigned clinic to ensure efficient patient flow. Trained in all aspects of backoffice clinic operations including but not limited to: Outpatient registration patient scheduling clinic schedule template building and maintenance and supply ordering and management. Makes recommendations for retraining and trains new hires. Works collaboratively with clinicians department leadership supervisors and managers to ensure continuous clinic flow by monitoring daily clinic schedules and registration processes.

Essential Functions:
  • Provides administrative clinic support to include but not limited to time and attendance help desk tickets supply ordering and maintenance and other duties as assigned. 10
  • Performs template maintenance; new provider template requests schedule building and schedule changes. 20
  • Answer telephone inquiries; screens calls; routes calls and takes messages registers and schedules patients. 20
  • Delegates job assignments and monitors workflow. Monitors and tracks employee daily assignments. 20
  • Address customer service issues and uphold high level of customer service amongst administrative staff at all times. 5
  • Prepares correspondence documents onboarding material and reports in a variety of programs including Adobe Acrobat PowerPoint and Word. 5
  • Works with and under the direction of clinic manager to initiate formal/informal activities with employees to develop departmental cohesion and collegiality. 5
  • Works with and under the direction of clinic manager to actively identify problems and opportunities for improvement; identifies appropriate solution and involves others in the implementation process. 10
  • Identifies and escalates system problems environmental issues and employee issues as appropriate to the clinic manager and nurse supervisor. 5

Education:
  • No High School Diploma and/or No GED

Work Experience:
  • 46 years experience in an administrative clerical or operations role. Required
  • 79 years experience in a customer service role within a fastpaced environment. Required

Licenses:

    Knowledge Skills and Abilities:
    • Adept at learning new technologies to perform data entry manage calendars and create reports.
    • Proficient in Microsoft Office applications.
    • Strong timemanagement and organizational skills
    • Excellent communication skills both written and verbal
