Sales Support Specialist
Location: Remote (Philippines)
Compensation: $1000 $1200/month
Industry: Food & Beverage Distribution / Sales Admin
Schedule: Monday to Friday 8:00 AM 4:00 PM EST (flexibility required for coordination across time zones)
The Sales Support Specialist provides essential administrative and operational support to the sales team ensuring efficient processes accurate reporting and smooth coordination with other departments. This role supports the Sales Team Support Coordinator by managing data tracking sales activities and handling administrative tasks enabling the sales team to concentrate on client interactions and revenue generation.
Key Responsibilities:
Examples of tasks the candidate will manage include:
1. Reporting & Analysis
Weekly Sales & Returns Reports: Review and analyze weekly sales and returns data to identify trends highlight anomalies and provide insights to the sales team.
Brand Sales Reporting: Prepare a weekly brand sales report typically on Wednesdays for brands designated by the DSM identifying growth opportunities or areas for improvement.
Short Shipments and Discrepancies: Compile a weekly report on short shipments and
discrepancies coordinating with suppliers to resolve issues promptly and maintain service quality.
Transition Tracking: Manage and report on item transitions noting any missed transitions that may affect order fulfillment.
Performance Tracking: Track and report on newly opened accounts by chain and sales associate providing insights on new market penetration.
AllIn Report Preparation: Create summaries of past orders to assist sales reps in monitoring their progress towards incentive goals.
Team Performance Summaries: Prepare monthly or semiannual summaries of team performance metrics and key achievements to provide insights for strategic planning.
2. Chain Maintenance
New Item Submissions: Accurately complete and submit new item paperwork through customer portals or via email according to each chain s specific requirements.
3. Promotion Management
SAP Promotion Upload: Upload promotional data into SAP export the PDF and save it to Dropbox ensuring data accuracy across platforms.
Vendor Portal Promotion Upload: Manage and upload promotional materials to vendor portals as required.
4. Catalog Management
Catalog Updates: Maintain catalog accuracy by adding new items managing transitions and updating discontinued items to reflect the latest information. Regularly review catalogs to ensure they align with current product offerings
Skills & Qualifications:
2 years of experience in sales support sales operations or administrative roles ideally within the retail or consumer goods industry.
Strong proficiency in SAP Asana Microsoft Office (especially Excel & PowerPoint) and Dropbox.
Excellent organizational and communication skills with a high attention to detail.
Proficient in spoken and written English.
Ability to work independently and collaboratively within a remote team environment.
