Position: Coordinator Vancouver Coast & Mountains

Salary: $64123.59 $72674.35

Classification: AO18

Status: Permanent

Location: Vancouver BC

Work Option: Hybrid

Flexible work options are available subject to an approved telework agreement; Hybrid work is available for employees residing within the Vancouver Coast and Mountains (VCM) region and enables employees to telework from their home up to 3 days a week with in office days on Wednesdays and Thursdays.

PURPOSE OF POSITION

As part of the Destination Management Division the Vancouver Coast & Mountains (VCM) team plays a strategic role in driving and influencing partner engagement in Destination BCs programs and services. The key responsibilities for this position include coordinating the VCM contracts and programs.

Under the direction of the General Manager Vancouver Coast & Mountains the Coordinator Vancouver Coast & Mountains position coordinates the delivery of Destination BC programs and services within the VCM tourism region to ensure optimal program delivery and partner engagement. Success in this role requires strong organization attention to detail relationship building and excellent written and verbal communication skills as well as collaboration with Destination BCs departments government external partner organizations contractors tourism organizations and businesses.

SPECIFIC ACCOUNTABILITIES

1. Assists in the coordination of the delivery of Destination BC programs (i.e. Destination Development Iconics Industry Development etc. within the VCM tourism region to ensure optimal program delivery and partner engagement.

2. Liaises and builds relationships with VCM partners providing daytoday advice and guidance to communities and tourism businesses etc. to help them engage in Destination BC programs and activities.

3. Maintains VCM partner contact details in the Salesforce database and ensures program engagement lists are current.

4. Liaises with other Destination BC program areas (i.e. Global Marketing Destination Development Industry Development Research Visitor Services and Corporate Communications) and shares relevant VCM program information to facilitate increased collaboration and alignment.

5. As required may attend and record minutes or notes at community planning meetings with key partners including Mayors/Councillors community officials government partners Destination Marketing organization representatives and tourism businesses.

6. Prepares monitors and tracks contracts ensuring compliance with deliverables and terms and conditions.

7. Monitors budgets prepares month and quarterend variance reports processes invoices and monthly purchase card reconciliations and applies appropriate coding and backup coverage.

8. Assists the Director Indigenous & Regional Partnerships and General Manager Vancouver Coast & Mountains with quarterly financial reporting & annual business planning processes travel and meeting preparation.

9. Coordinates and organizes delivery of workshops webinars seminars and conferences in various communities throughout the VCM region including the VCM Industry Forum and Community Forum.

10. Prepares and refines presentation materials to support the Director Indigenous & Regional Partnerships and the General Manager Vancouver Coast & Mountains including slide decks speaking notes and visual aids tailored to internal and external audiences.

11. Supports the coordination of the Vancouver Coast & Mountains Industry Newsletter.

12. Represents Destination BC at conferences seminars and workshops if required.

13. Other related duties as required.

JOB REQUIREMENTS

Diploma in marketing or business and a minimum 3 years experience in a tourism related field; or an equivalent combination of education and experience;

Minimum 2 years experience developing contracts and contractor relationship management;

Minimum 2 years experience managing and reporting on budgets and financial tracking;

Minimum of 2 years experience in supporting partner relationship development and maintenance;

Minimum 2 years experience in event planning (onsite and virtual)/logistics/ organization;

Demonstrated experience in preparing written reports and designing presentations at the intermediate level.

Demonstrated experience in desktop applications including spreadsheets database maintenance presentation software and wordprocessing. (MS Office preferred)
