Position Purpose and Summary
The Internal Policies and Procedures Specialist collaborates closely with the Coordinator and Senior Specialist in this area. In this position the Specialist undertakes various responsibilities essential for managing and ensuring compliance with Disciplinary Actions and Appellate processes for the Sorority.
They will assist in the collection of reports and investigative materials. Correspond with members and all involved parties that assist in the facilitation of the disciplinary action and appeals process. She will provide weekly updates and required data/reports to the department and executive leadership.
Be knowledgeable of policies and procedures that govern the disciplinary action process with the capability of applying policies and procedures to address when needed. The Specialist will provide assistance to the department to carry out routine tasks and assignments identified by the Director.
When needed serve as a liaison to the National Scholarship and Standards Committee and Subcommittees.
Duties and Responsibilities
Supports and provides assistance to the Director of Member Policies and Procedures.
Ensures adherence to the Disciplinary Action process for members/chapters (probation suspension and expulsion) and the Code of Conduct administered by the National Scholarship and Standards (S&S) Committee. Maintains records prepares reports and distributes in accordance with policy.
In accordance with the disciplinary process the Specialist will oversee the creation and development of allegation reports related to Membership Intake Code of Conduct and other violations as per policy. The Specialist will also send notifications to the appropriate Regional Director or National Officer(s).
Assists in ensuring adherence to the Appeals process and prepares such documents for administration by the National Scholarship and Standards committee (Level I) the Executive Board (Level II) and Executive Session (Level III); and maintains records of same in compliance with policy.
Monitors/updates all related Disciplinary Action program reports and ensures all other related information under this positions purview is updated on the official website and other domains managed by the organization.
Provides data and information for the quarterly reports furnished to the Executive Leadership National Scholarship and Standards Committee Regional Officers and appropriate staff.
Serves as a staff liaison for the National Scholarship and Standards Committee.
As assigned performs other duties of the Member Policies and Procedures Department in preparation for National Conventions and Regional Conferences internally and on site.
Responds directly to emails regarding special concerns and inquiries in a timely fashion; and determines based on the nature of the concern(s) which emails require a direct response from the Executive Leadership or Director of Member Policies and Procedures.
Collaborate with other internal departments committees and subgroups to ensure organizational objectives are met.
Serves as staff liaison and provides technical and administrative support to the Scholarship and Standards Committee and the Investigations Management Team. Attend committee meetings all workshops and training activities; inclusive of preparation/attendance for National Convention and Regional Conferences.
Provides technical support with workshops and trainings on the national and regional levels. Also provides onsite assistance to respective committees/commissions/task forces.
Participates in ongoing professional development and technical training to expand knowledge skills and abilities.
Performs other duties as assigned.
Minimum Qualifications (Knowledge Skills and Abilities)
Membership in Delta Sigma Theta Sorority Inc. with knowledge of policies and procedures is desired.
Bachelors degree in business administration liberal arts or related field.
Minimum of three 3 years of professional experience.
Ability to establish and maintain effective working relationships with national officers committee members chapters/members and staff.
Administrative experience necessary including familiarity with Microsoft Word and Excel comfortability with routine use of the Internet accessing database systems and other software applications.
Excellent verbal and written communication skills.
Strong research skills to include gathering and evaluating information.
Strong analytical planning organizational and time management skills.
Demonstrated initiative and ability to work under timesensitive deadlines.
Ability to multitask meet aggressive deadlines and execute tasks in a fastpaced environment.
Ability to work independently and as a team player.
Must be able to travel for major events where staff participation is required.
Must reside within a 50mile radius of National Headquarters within six 6 months of start date.
Proof of comprehensive COVID19 vaccination is required.
