The Senior Administrative Assistant provides highlevel administrative support to executives and senior management within the organization. This role involves managing schedules coordinating meetings handling correspondence and performing a variety of tasks to ensure the efficient operation of the office. The ideal candidate is highly organized detailoriented and capable of handling sensitive information with discretion.
Key Responsibilities:
- Calendar Management: Coordinate and manage complex calendars schedule meetings and arrange appointments for executives and senior management.
- Communication: Serve as the primary point of contact for internal and external communications including answering phone calls responding to emails and handling correspondence.
- Meeting Coordination: Organize and prepare materials for meetings including agendas presentations and minutes. Arrange logistics for meetings such as room bookings and catering.
- Travel Arrangements: Plan and coordinate travel itineraries accommodations and transportation for executives and senior management.
- Document Management: Prepare edit and proofread documents reports and presentations. Maintain and organize electronic and paper filing systems.
- Project Support: Assist with special projects and initiatives as needed providing administrative support and coordination.
- Office Management: Oversee office supplies and equipment ensuring the office environment is wellmaintained and functional.
- Confidentiality: Handle sensitive information with the utmost discretion and maintain confidentiality at all times.
- Team Collaboration: Work collaboratively with other administrative staff to ensure seamless support across the organization.
Qualifications:
- Education:Bachelors degree in Business Administration Office Management or a related field preferred.
- Experience:Minimum of 5 years of experience in an administrative support role with at least 2 years supporting senior management or executives.
Skills:
- Excellent organizational and timemanagement skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook).
