Job Description

The purpose of the role:

The Facility Assistant supports on premises and general operations projects. The Facility Assistant delivers facilities services and collaborates on sustainability programmes to maintain a safe and efficient work environment. As Prevention Advisor* manages the office prevention plan advises on health and safety and ensures compliance with occupational safety regulations.

Key responsibilities:

Assists in premises projects from concept to implementation including vendor management budget monitoring and authorisation of works.

Helps deliver facilities services including operations and maintenance energy management and general office management.

Collaborates on sustainability programmes including utility monitoring and implementation of usage reduction initiatives.

Assists with monitoring and reallocating space to ensure effective use according to the Firms needs manages internal move and refurbishment projects.
Supports teams in activities across facilities management including supervising outsourced personnel in cleaning security and technical maintenance.

Provides support for events meetings emergency response and manages maintenance and repair requests.

Participates in regular testing and evaluation of business continuity plans to identify areas for improvement.

Helps to ensure all individuals on the Firms premises have proper Firmissued identification and supports compliance with all health and safety regulations and security.

Prevention Advisor*

As Prevention Advisor develops the office prevention plan and an annual action plan to mitigate risks to health and safety implements necessary actions and manages the relationship with external occupational safety provider.
Supports in ensuring adherence to firms health & safety policies to maintain a safe work environment and assists in the investigation of accidents or incidents to discover causes and recommend preventive measures.

* Prevention Advisor title only added once relevant certificate obtained.
