POSITION SUMMARY
Reporting to the Accounting Manager Operations the Accounting Clerk is responsible for supporting the daytoday operations of the finance department by handling a range of accounting tasks including assisting accounts payable accounts receivable and procurement processes. The Accounting Clerk ensures that financial transactions are accurately recorded processed and reconciled in a timely manner while adhering to company policies and procedures.
EDUCATION/EXPERIENCE
- Completion of High school or equivalent
- Certified Bookkeeper or Certified Accounts Payable/Receivable Specialist preferred
- A minimum of 2 years of experience in an accounts or administrative role
- Previous experience using accounting software required Vadim preferred
- Previous experience working with a First Nation organization preferred
- Equivalent combination of education training and experience may be considered

JOB DUTIES/RESPONSIBILTIEs
Accounts Receivable
- Assists the Accounts Receivable department as needed:
- Generates and issues invoices to customers based on sales orders or contracts
- Ensures that all invoices are accurate reflecting the correct amounts payment terms and details of goods or services provided
- Reconciles customer accounts to ensure that all payments are accounted for and that balances are correct
- Investigates any discrepancies in customer accounts such as overpayments underpayments or missing payments
- Assists with monthend and yearend closing by providing accurate accounts receivable data for financial statements
Accounts Payable
- Assists the Accounts Payable department as needed:
- Ensures that invoices have the correct coding for accounts cost centers and any applicable taxes
- Ensures that all payments are made in accordance with agreedupon payment terms
- Reconciles vendor statements and compare them with internal records to ensure all transactions are accounted for
- Keeps a complete audit trail of all transactions in case of internal audits or regulatory compliance checks
- Provides support in generating reports related to accounts payable activity such as aging reports and accounts payable summaries
Procurement
- Assists the Procurement department as needed:
- Assists in creating and processing purchase orders based on approved requisitions from various departments
- Monitors the status of open purchase orders to ensure timely delivery and resolve any discrepancies or delays with vendors
- Reviews invoices from vendors to ensure they match the corresponding purchase orders and delivery receipts
- Crosschecks pricing quantities and terms to ensure accuracy before submitting invoices for payment
- File and organize procurement documents for easy retrieval during audits or internal reviews
Other
- Reconciles bank accounts on a timely basis
- Provides backup in Cash Receipting as needed
- Performs all duties and responsibilities as assigned by the Accounting Manager Operations and in accordance with the Westbank First Nation policies standards and procedures
KNOWLEDGE/SKILLS/ABILITIES
- A basic understanding of Generally Accepted Accounting Principles (GAAP) bookkeeping practices and the processes behind invoicing billing and accounts reconciliation
- Strong organizational skills with the ability to prioritize tasks manage time effectively maintain structure and ensure efficient workflow to meet deadlines and achieve goals.
- Ability to catch errors or discrepancies in invoices payments and account reconciliations to ensure accuracy in financial data
- Strong analytical skills to analyze financial data and resolve issues related to payments invoicing or vendor accounts
- Ability to handle multiple accounting tasks simultaneously such as processing invoices handling payments and performing reconciliations without compromising accuracy
- Demonstrates a high degree of confidentiality in interpersonal interaction
- Working knowledge of the history of colonization in Canada and its ongoing impact on modern issues affecting Indigenous Peoples
- Working knowledge in communicating with Indigenous Peoples demonstrating sensitivity and empathy and awareness of how language choices can influence and impact conversations
