Job Description
SUMMARY:
Reporting to the Director of Student Accounts the Associate Director of Student Accounts develops and implements departmental policies programs and initiatives; and oversees the planning and direction of student receivables and collection activities. The Associate Director assists in the management of functions including student billing tuition and fee assessment the timely requesting of student refunds the collection of delinquent account balances third party vendors and billings the processing of federal forms such as 1098T and 1099C actively participating in the recruitment and advancement of staff and in the absence of the Director acting as a delegate to provide University administrators input for critical decisions as they relate to the Office Student Accounts (OSA).
PRINCIPAL DUTIES AND RESPONSIBILITIES:
Assists in the management of OSA functions across all campuses including student billing/tuition and fee assessment and issuing student ebills.
Coordinates outreach to students with outstanding balances; ensures the accurate and timely processing of payments received for student and nonstudent accounts receivable.
Scrutinizes disbursements of all financial aid and scholarship programs to assists with the timely request of student refunds.
Works with the Treasury Office and Financial Aid Office to reviews all uncashed student refund checks scheduled to be escheated.
Assists with Federal forms such as 1098T and 1099C producing disseminating and responding to student inquiries.
Works closely with the staff to maximize revenue for the University.
Triages questions for Financial Aid Registrar Student Services Residence Life Red Hawk Central etc. across all campuses delivering direct support to students and parents.
Exercises sound judgment and sensitivity when interacting with students parents faculty staff and other internal and external stakeholders; understands policies and procedures ensuring satisfactory resolution of problems escalated to the administrative level.
Supervises four 4 Student Accounts Representatives (onsite and distance management); provides training and development within the Office of Student Accounts.
Assists in the hiring and evaluation of staff using collective bargaining and affirmative action guidelines; has responsibility for effectively recommending the hiring firing promoting demoting and/or disciplining of employees.
Coordinates with the Supervisor of Student Accounts to ensure consistent transfer of knowledge when resolving operational issues ensuring quality control and auditing mechanisms are in place to investigate accordingly.
Recommends improvements to utilize staff processes and publications to guarantee consistency with department objectives and activities.
Analyzes business procedures to identify and implement changes to enhance customer service efficiency and effectiveness for a diverse population of students faculty staff outside agencies and serving as our liaison to internal departments.
Assists the Director in supporting strategic planning activities for the department providing leadership and management to the staff.
Assisting in the development and implementation of policies and procedures while maintaining regulatory compliance; develops and implements programs and initiatives for OSA.
Modifies and initiates operational procedures to improve efficiency meet department functional objectives; identifies opportunities for staff development and improvement.
In coordination with the Director participates in the planning development and implementation of intra/interdepartmental initiatives maintains liaison activities and directs the coordination with other divisions departments or agencies to advance cooperative projects and/or programs designed to contribute to division goals and objectives ensuring that procedural activities are smoothly integrated and designed to improve or expand educational programs and activities.
Supporting pilot projects research designed to measure the success of such initiatives.
Collaborates with Student Communication Team to effectively communicate per established procedures of departmental announcements to ensure proper deadlines and important information is sent to students and University community in a timely fashion.
Manages Student Accounts content on the University website to ensure accuracy and compliance with all Federal State and University regulations related to student account issues; consults with department staff to provide procedural and interpretation support.
Serves on various standing committees as needed and acts in the Directors position as needed.
Supports the Director of Student Accounts in handling all administrative and accounting duties within the Office of Student Accounts.
Monitors monthly reporting and compliance with Federal State and University regulations.
Assists the Director with proactive onsite and distance management of staff on all campuses.
Performs other duties as assigned.

QUALIFICATIONS:
REQUIRED:
Bachelors degree from an accredited college or university in Accounting or Business.
Minimum of five years of experience in the Office of Student Accounts Financial Aid Finance or in a higher education setting.
Established experience in Banner or a similar system student accounts receivable as it relates to assessment/billing application of payment online gateways collections financial counseling and data entry.
Ability to manage a highvolume workload within a deadlinedriven environment.
Strong organizational skills the ability to creatively problem solve and the ability to multitask and manage deadlines.
Excellent written oral and interpersonal skills in order to effectively interact with staff students parents and other related parties.
Strong working knowledge of basic accounting principles and techniques.
PREFERRED:
Graduate or MBA degree in a related business discipline.
Extensive knowledge especially as it relates to TouchNet and Workday.
