Job Description

Summary Statement

The Administrative Office of the Courts Court Interpreter Program is looking for a Casual/Seasonal employee to provide administrative support to the Program Coordinator. This position is not to exceed 29.5 hours per week. Under the Program Coordinators direction this position will be responsible for: scheduling interpreting and continuing education events; processing invoices; data collection and entry; answering emails and phone calls; processing program applications; and any other miscellaneous administrative task as directed. Support may be needed for outofoffice events such as interpreter testing training or inperson community outreach events. Working knowledge of Word Excel Power Point Zoom or Teams and other standard office equipment is required.

Preferred Qualification

Applicants who do not possess the preferred qualification will still be eligible to compete for this position if the job requirements are met.

  • A degree is not required but candidate must demonstrate proven experience in a clerical or administrative position.

Essential Functions

Essential functions are fundamental core functions common to all positions in the class series and are not intended to be an exhaustive list of all job duties for any one position in the class. Since class specifications are descriptive and not restrictive incumbents can complete job duties of similar kind not specifically listed here.

Working under the supervision of the Court Interpreter Program Coordinator this position will be responsible for:

  • Ensuring effective coordination of operational functions such as scheduling events based on multiple calendars and availability and assisting the courts in securing requested language services.
  • Creating and maintaining Program databases and spreadsheets reports and other Program documents such as processing invoices.
  • Collecting researching compiling or drafting data and other administrative materials to prepare reports and other Program materials.
  • Applying Program procedures and policies to maintain and process Program information and questions.
  • Analyzing routine operating practices and procedures and making recommendations to ensure smooth and efficient office operation.
  • Serving as a liaison between the Program and internal AOC divisions the courts state agencies vendors and Program users.
  • Supporting offsite events at the request of the Program Coordinator.
  • Other administrative duties as assigned.

Job Requirements

Applicants must have education training and/or experience demonstrating competence in each of the following areas:

  1. Two years experience in coordinating administrative support operations tracking workflow and resolving problems providing guidance and consultation to management customers and others on administrative matters.
  2. Two years experience in conducting research from multiple sources analyzing data collected and preparing reports letters and other administrative documents.
  3. Two years experience in using standard computer software programs for word processing spreadsheets or databases to enter update modify delete retrieve/inquire and report on data or create reports.

Conditions of Hire

  • A satisfactory criminal background check is required as a condition of hire.
