Position Summary:
The Senior Admissions Representative for Medical Education is responsible for successfully recruiting and reviewing candidates for the Illinois College of Osteopathic Medicine (Illinois COM) at The Chicago School. This role collaborates closely with the Senior Director of Admissions (SDOA) Assistant Director of Admissions (ADA) and the broader admissions team to manage all aspects of the admissions process. Key responsibilities include engaging with prospects applicants and incoming students reviewing applications and supporting retention efforts to ensure that accepted students successfully matriculate.
Admissions Representatives who are assigned to a specific campus as their primary location will have responsibilities on campus and their presence will be required at that campus location.
The ability to work evenings and weekends is required as is occasional domestic travel.
Principal Duties:
- Serve as a key ambassador for Illinois COM actively promoting its mission and values by planning and attending key recruitment events including prehealth fairs and strategic individual school presentations.
- Establish and sustain strong ongoing relationships with preprofessional academic advisors at diverse colleges and universities across the United States fostering engagement with a wide range of educational institutions.
- Evaluate candidate applications through the centralized system ensuring alignment with Illinois COMs mission and values.
- Respond to all new student inquiries quickly and maintain consistent communication with all assigned prospective students throughout the admissions process.
- Serve as a professional representative of the university through telephone virtual and inperson consultations with prospective and accepted students.
- Manage the Salesforce database effectively ensuring accurate documentation inquiry tracking and strategic followups.
- Maintain organized and confidential student information following FERPA regulations
- Act as a mentor to Admissions Coordinator(s)
- Perform other duties as assigned.
Essential Knowledge Skills and Abilities:
- Excellent communication skills (writing public speaking interpersonal and public relations skills).
- Demonstrated experience in the training and development of Admissions Representatives.
- Ability to selfinitiate and execute with minimal supervision.
- Support and facilitate training of new staff along with training for all team members.
- Computer skills including word processing database management and Power Point (experience with CampusVue and Salesforce is a plus.
- Ability to use software applications including databases to track information and produce reports.
- Ability to represent The Chicago School in a professional manner.
- Must be knowledgeable of trends in higher education and principles of enrollment management.
Minimum Qualifications:
- A bachelors degree from an accredited college or university with 3 years of experience working in admissions or student services
- Exhibited strong public speaking and interviewing skills with the confidence and professionalism to engage effectively with medical school applicants as well as D.O. M.D. and Ph.D. faculty.
- Demonstrated ability to work effectively and collaboratively in a team environment contributing to shared goals and fostering positive working relationships.
- A strong internal drive to excel taking initiative and pushing oneself to achieve the highest level of performance.
- Computer skills including experience using customer relationship management systems and the ability to learn new systems quickly.
Preferred Qualifications:
- Previous experience working at an Osteopathic or Allopathic Medical School is preferred.
