Job Description

The Director of Operations (D.O. serves as the administrative support to the Associate Vice President & Dean for the Center for Academic Success providing strategic and operational support across a diverse portfolio of studentfacing unitsincluding the Center for Academic Success Academic Support for StudentAthletes Academic Resource Center ROTC Pirate Pathway Career Center and the Transfer Center. This role plays a critical part in advising coordinating and advancing key initiatives by translating highlevel plans into actionable strategies. The Director of Operations ensures alignment across departments fosters collaboration and represents the priorities of the AVP by driving integration and progress across the division.

Duties and Responsibilities:

Administrative and Operational
The D.O. will provide administrative support including AVP calendar coordination procurement inventory management and hiring processes for administrators staff and student workers.
The D.O. will manage daily operations for the Center for Academic Success including facilities oversight for approximately 20 offices in Mooney Hall; submit and track maintenance work orders and coordinate housekeeping needs.
The D.O. will manage and oversee CAS out of office calendar.
The D.O. will prepare and process all salary authorizations onetime payment forms contracts and award letters for staff GAs and guest instructors in accordance with university budget guidelines.
The D.O. will oversee onboarding and setup for new staff including access to office space.
The D.O. will oversee procurement of office supplies and catering needs maintain vendor contracts/relationships.
The D.O. will continuously assess and refine administrative workflows to enhance efficiency eliminate redundancies and improve service delivery across units.
The D.O. may assist with logistical planning for CASsponsored programs/events including space reservations catering and marketing coordination.

Budget Management
The D.O. will prepare monthly and quarterly budget reports and forecasts for AVP providing financial insights that inform decisionmaking.
The D.O. will maintain track and analyze the Center for Academic Success operating expenses ensuring fiscal compliance and responsible spending.
The D.O. will maintain track and analyze the Peer Advisor student salaries operating expenses ensuring fiscal compliance and responsible spending.
The D.O. will pay all invoices reimbursements and interdepartmental payments including IDTs.
The D.O. will review and approve all unit Transaction Allocation Reports.
The D.O. will support additional units when needed with financial tasks including budget planning and procurement oversight.


Data and Technology
The D.O. will manage department data systems and reporting tools (e.g. Banner Cognos EAB Navigate 25 Live).
The D.O. will manage HR Page Up Applicant tracking system to create new job postings and monitor applicant pool.


Student Employment and Peer Advisor Program
The D.O. will lead the recruitment hiring onboarding and supervision of Peer Advisors and Peer Advisor Coordinators.
The D.O. will manage Peer Advisor Program budget including training events and payroll expenses.
The D.O. will serve as the primary liaison between the Peer Advisor Program and collaborative departments (e.g. Admissions Residence Life Career Center Office of Student Engagement).
The D.O. will provide consistent coaching and performance feedback; conduct evaluations assessments and administer disciplinary actions as needed.
The D.O. will assist with student employment issues in collaboration with Student Employment and Financial Aid and review and track Federal WorkStudy allocations.
The D.O. will monitor and process biweekly timesheets for all student workers and resolve related questions or issues.
The D.O. will facilitate monthly PA Meeting and Coordinator meetings.
The D.O. will oversee Peer Advisor Program social media strategy and content ensuring alignment with university branding and student engagement goals.
The D.O. will foster a student leadership development component to the PA program facilitating guest speakers workshops and activities.

The D.O. will perform other duties as assigned in support of the mission and goals of the Division of Student Services.

Required Qualifications:

Bachelors degree

Demonstrated experience supporting executivelevel leadership with a proven ability to manage competing priorities in a fastpaced environment. Must exhibit a high level of discretion and sound judgment particularly when handling sensitive or confidential information.
