The Receptionist provides receptionist services including communications and security procedures in a manner that meets or exceeds our statement of philosophy. Prove for the orderly and professional transfer of telephone calls and messages to administrative office staff and other appropriate personnel. Maintain a responsible and professional appearance/demeanor at all times. Assist with clerical duties as needed.

KEY DUTIES AND RESPONSIBILITIES

  1. Support the Mission Values and Vision of LifeSpire of Virginia
  2. Serve as telephone receptionist for the entire facility while meeting or exceeding ourcare and service standards.
  3. Responsible for the maintenance and appearance of the front desk reception area; secures proper relief coverage; ensure that facilitys telephone system is utilized for business reasons only; monitors reception are to ensure it will make the best impression to guests and visitors.
  4. Assist the facilitys marketing efforts by answering general inquiries concerning the community both over telephone and in person; all inquiries should be handled according to facility policies and procedures;
  5. Greet and direct facilitys guests and visitors in a professional courteous manner.
  6. Receive and transfer telephone calls to appropriate parties; take and deliver telephone messages as necessary and effectively utilize telephone system features.
  7. Respond to telephone inquires appropriately and/or direct calls to proper departments; operate telephone console in an expeditious manner as outlined by facility policy.
  8. Develop an indepth understanding and stay up to date on the facilitys Fire and Disaster Preparedness Plans in order to effectively communicate with facility personnel as well as rescue personnel during an actual emergency.
  9. Ensure compliance with facilitys security policy and procedures as it relates to visitor sign in for all guests and visitors.
  10. Sort and distribute incoming weekend mail according facility policy; maintain confidentiality of resident mailboxes ensuring that only those designated have access.
  11. Assist residents with requests for mail services (weighing mail wrapping parcels etc.
  12. Provide typing and/or clerical services as needed; assist with other business office functions such as materials preparation reports etc.
  13. Photocopy materials for residents and staff.
  14. Must be able to use a variety of office machines such as personal computers photocopier fax machines cameras printers and audio/visual equipment.
  15. Maintain and protect the confidentiality of resident information at all times.
  16. Practice positive employee relations when interacting with other employees within the facility.
  17. Maintain a positive cheerful attitude at all times.
  18. Observe Resident Rights and Responsibilities at all times.
  19. Practice all safety and loss prevention procedures.
  20. Adhere to our standards of appearance; comply with ourhygiene and health standards for Support Services personnel.
  21. Participates in all fire and safety drills inservices and departmental programs as assigned.
  22. Refrains from discussing personal or work related problems with other staff residents their families and friends.
  23. Attend in services and complete Relias courses as required.
  24. Perform other duties as assigned in a prompt and cooperative fashion.
  25. Follows all personnel policies and procedures outlined in the Employee Handbook and subsequent publications and notices (including policies on breaks meal periods and PAL time).
