Provides clerical support to the Transcription Department accessing retrieving and utilizing data from multiple systems to support transcription other HIM workflows and processes. Meets established turnaround times of assigned tasks ensuring dictated reports are transcribed and distributed timely Maintains third party access spreadsheet to monitor and track approved and authorized third party access to Community Medical Centers (CMC) electronic health record.
Accountabilities
1. Monitor workflow in CMCs dictation/transcription system to ensure timely completion and distribution of dictated and transcribed reports. Includes monitoring of preoperative history and physicals pended reports discharged not final billed (DNFB) dictators and STAT dictations.
2. Monitor surgery schedules daily reconciling transcribed and pending transcribed reports with the surgery schedule.
3. Perform corrections and/or edits to transcribed documents upload corrected documents to the electronic health record (EHR) Epic.
4. Assist in managing onsite and remote transcriptionist workflow; communicating backlog STAT requests quality assessment reviews pended list and corrections of transcribed documents.
5. Validate the correct provider courtesy copies are added to the dictated report for designated dictators.
6. Maintain the provider dictionary in the dictation/transcription data base; adding and deactivating dictators and providers as needed.
7. Validate provider address phone and fax numbers to ensure transcribed reports are distributed to the appropriate individual or entity aligning with CMCs faxing policy and procedure. Communicate address phone number and fax additions and changes to information systems and Medical Staff office.
8. Monitor the Epic interface EHR failed transcription error and transcription correction communication queues. Perform appropriate corrections and uploads to EHR.
9. Monitor newborn PKU Epic work queues to ensure compliance with the State of Californias mandated newborn screening program.
10. Monitor faxes for routing/faxing approval. Research and report failed faxes as appropriate.
11. Answer multiple telephone lines for internal and external customers/departments.
12. Maintain effective communication with HIM management team identifying any trends or issues and with both internal and external customers relaying any reported concerns or issues in a timely manner.
13. Maintain third party access spreadsheet; tracks and monitors third party requests for access to the EHR. Ensure third party access forms are scanned to network folder.
14. Perform other duties as assigned.
