Job Description

Responsibilities include but are not limited to:

40 Customer Service
  • Ensure a welcoming and approachable reception area for summer residents Camps & Conferences groups and guests.
  • Serve as a positive representative of Housing & Residence Life Student Affairs and the University at all times. This includes answering the phone presence at the desk and interacting with students families and guests to the university.
  • Build rapport and develop relationships with summer residents and Camps & Conferences groups in the community through regular interaction at the front desk.
  • Greet residents staff members and guests answer the phone and assist with questions and concerns.
  • Serve as the information hub for the building by sharing applicable information and answering questions.
  • Assist with tours and provide information.
30 Administrative Duties
  • Perform administrative tasks related to hall occupancy including issuing keys checkins/checkouts for Camps and Conferences lockouts and assisting with mail and packages.
  • Maintain accurate inventory and documentation to support summer operations.
  • Coordinate incoming and outgoing communication.
  • Maintain regular communication with direct supervisor and other department personnel. This includes working with different representatives from Housing & Residence Life in the management of a groups experience.
  • Serve as a contributing member of the staff team working with all Summer Desk Receptionists Desk Operations Conference Receptionists Conference Coordinators and Residence Life and Housing Operations staff members.
  • Perform additional duties and special assignments as directed.
25 Policies Safety & Security Enforcement
  • Participate in mandatory trainings about the Federal Educational Rights and Privacy Act(FERPA) andemergency procedures.
  • Monitor the card access system and security cameras for the resident community.
  • Ensure access for residents approved staff members approved Camps & Conferences groups and tour groups. This includesAdmissions visits Camps & Conferences walkthroughs and various other groups.
  • Be familiar with building layouts to assist in the direction of emergency responders and Camps & Conferences groups.
  • Be familiar with and enforce policies and procedures of the University of Kansas and KU Housing & Residence Life.
  • Document incidents occurring during working hours and submit incident reports through the designated online incident reporting system.
  • Communicate with other KU Housing & Residence Life staff members when appropriate and/or in accordance with reporting structure.
5 Departmental
  • Demonstrate a commitment to personal integrity which includes role modeling good judgement ethical behavior and adherence to laws and policies.
  • Willingness to learn collaborate and support Housing & Residence Life during transition periods and other initiatives that take place during the summer period.
  • Participate in scheduled monthly meetings with the Desk Operations Team

Work Schedule
Ability to work a minimum of twelve 12 hours per week including morning and weekend shifts overnight shifts 10 p.m. 6 a.m. and during holidays.

General
The Summer Desk Receptionist is an hourly student staff member within KU Housing & Residence Life who reports directly to the Administrative Associate and indirectly to the Student Desk Manager. Summer Desk Receptionists work a minimum of twelve 12 hours a week over the summer with the opportunity to extend employment into theacademic year. Summer Desk Receptionists are responsible for customer service access control administrative and communication functions within a residence community. Summer Desk Receptionists work collaboratively with other student staff in paraprofessional roles to maintain confidentiality of information and ensure an academically supportive environment for students. Summer Desk Receptionists are also responsible for maintaining security confidentiality and providing exceptional customer service for guests during Camps and Conferences in various halls. Summer Desk Receptionists are expected to remain in good standing with the University and KU Housing & Residence Life for the duration of their employment.

Position Requirements
During the semester term of the appointment the student hourly must be enrolled in no fewer than 6 credit hours. For summer periods the student hourly must: 1 have been enrolled in no less than 6 hours in the past spring semester or 2 be preenrolled in the upcoming fall semester in no less than 6 hours or 3 be enrolled in summer session or 4 be admitted to study in the upcoming fall semester. Student Hourlies may be undergraduate or graduate students. (Exceptions granted for GRA/GTA/GA appointments DO NOT apply to Student Hourly appointments).

Employment Conditions
1 Student employees are not eligible for remote work arrangements unless an exception is approved by the unit leadership and HR.

2 This is an hourly/nonexempt position. A student employee cannot hold an hourly/nonexempt position and a salaried/exempt graduate or undergraduate position (GRA/GTA/GA/RUA/RGA) concurrently.
