Job Description

Areas of Responsibility:

FaulconerChapman School is looking for aRegistrar The Registrar performs a variety of functions related to student services. The position requires some use of independent judgment but the work is generally performed under welldefined rules standards policies and procedures. TheRegistrarworks under the supervision of the building administrator.

ESSENTIAL JOB FUNCTIONS:

These job functions fall under the following: attendance records health and clerical.

  1. Maintains confidentiality in all matters relating to staff students and families.
  2. Documents and maintains all student records including immunizations health and academic electronically and hard copy formats.
  3. General secretarial duties including but limited to: answering phone taking and delivering messages; generating reports; assuring personal confidential secretarial services to the Principal and other administrative staff by composing typing and distributing correspondence; maintaining a calendar and a schedule of events and maintaining files; writing letters and memoranda from rough draft notes or oral instructions; collecting data from office records for use by administrators/supervisors and sorting and distributing mail.
  4. Ensures positive efficient services are provided to students staff and community for example enrollment of new students providing directions and building tours dispensing of medication providing first aid and responding to requests for information.
  5. Serves as information liaison between the supervisor other administrators teachers district office personnel and the general public.
  6. Answers questions and provides information which requires a thorough knowledge of the district.
  7. May enroll new students and create student data files; request immunization forms and other school and health information. Obtain records from the students previous school; evaluate transcripts to credit the students previous course work.
  8. May withdraw students and prepare required forms; collect withdrawal grades from teachers and update student cumulative files. Forward records of withdrawn students to other schools; ensure state and district regulations are followed. Verify requests for information relating to students and student files before forwarding information to other sources.
  9. May maintain record and monitor daily attendance and correspond with parents to verify an absence regarding the number of student absences and/or tardies their student has accumulated.
  10. May oversee state student testing and verify all students have been tested in all areas.
  11. May assist the Principal in development of master schedule; input information into computer. Scan student course selections and make necessary changes; generate scheduling materials. Maintain accurate reports and class counts for use in scheduling; print related reports as requested. Distribute schedules to offices and staff; maintain accurate class lists for teachers.
  12. May assist with computer data entry during meal service times.
  13. May be responsible for preparing state reports related to student attendance.
  14. May be responsible for making sure student report cards and progress reports are verified printed and mailed and copies filed as per grading period.
  15. Learn the operation of telephones computers and other equipment used in the work as required by the position.
  16. May dispense medication to students on parent/doctor orders.
  17. May be responsible to send letters to parents/guardians regarding incomplete immunizations and report students with incomplete immunizations to the Health Department.
  18. Fulfill other related duties.

Qualifications Required:

Medication & Insulin Delegation

Knowledge of Oregon Immunization laws

Experience with information systems (e.g. eSchool) preferred
