A core part of this role involves understanding and addressing the needs of both internal and external customers by delivering professional efficient and highquality service throughout every stage of the process before during and after their requirements are met. In collaboration with the manager the role will identify issues recommend control measures and produce reports as required. Additional duties may be assigned to support broader business operations. This role also involves providing administrative and organizational support covering various tasks related to office coordination communication and general management functions.
Key Responsibilities:
Handle full order processing cycle including preparation of delivery/shipping documents invoicing and overall project control.
Serve as the central point of contact for document submission organization and archiving related to each project.
Ensure all orders are executed accurately and on time aligning with customer requirements while effectively managing related costs and delivery schedules.
Maintain clear and timely communication with customers regarding any order changes delivery issues or nonconformance matters.
Support tracking of project gross margins (GMs) manage change orders and monitor projects at risk of delay or cancellation.
Prepare and present the Monthly Project Status Review Report for internal project meetings.
Advise the business on potential risks related to customer terms and ensure required approvals are obtained in line with company policies.
Prepare necessary documentation for letter of credit (LC) negotiations.
Handle internal and external customer service inquiries professionally and efficiently.
Collaborate crossfunctionally with various teams to support decisionmaking and ensure project delivery priorities are met.
Document monitor and audit internal controls to ensure compliance and operational efficiency.
Follow up on outstanding payments related to assigned projects.
Qualifications & Experience:
Diploma or Degree in Business Accounting or a related field.
Minimum of 3 years of relevant experience in a similar role preferably within a structured organization.
Handson experience in business administration sales operations order processing or project/cost control is highly advantageous.
Strong understanding of business processes and operational workflows.
