Job Description

Position #22216: Attendance Secretary/Bilingual Required/Temporary

Posting Dates:04/11/2025 04/17/2025 (Or Until Filled)

Location:TriTech Skills Center

Hours:8 Hours per Day 7:30am4:00pm with unpaid 30 minute lunch

This is a temporary position through July 2 2025 (will work summer school). Nonbargaining unit members will earn the substitute rate of pay. Benefits and seniority earned on 91st working day.

JOB DESCRIPTION

The secretary in this position will be working primarily in the front office. The duties will involve performing tasks to support the efficient operation of the attendance office. This position also manages and maintains student records and other pertinent student information. Additionally this person will provide a friendly caring invitational and safe atmosphere in the secretarial office and reception area care for students in the health room using basic first aid procedures administer students medicine and perform other jobrelated duties as assigned.

CONDITIONS OF EMPLOYMENT

  1. High school diplima or equivalent.
  2. A transcript of the highest level of education must be provided within thirty 30 days of employment.
  3. Spanish bilingual skills required must pass the STAMP assessment.
  4. Must pass a basic skills test.
  5. Must be able to meet the Physical Demands of the position.
  6. Must be able to perform the essential functions of the position with or without reasonable accommodation.
  7. Completion of Safe Schools Web Based Training within 30 days of employment and yearly thereafter.
  8. Must pass a Background Check which includes employee paid fingerprints.

QUALIFICATIONS REQUIRED

  1. Bilingual in Spanish and English.
  2. Minimum three years successful work experience in a secretarial/clerical or school office setting.
  3. Knowledge of and demonstrated skill at operating office technology including Windows and Microsoft Office Word Access Excel and Outlook.
  4. Must possess CPR/First Aid certification or be willing to become certified.
  5. Keyboarding accuracy and speed at 50 wpm.
  6. Demonstrated proficiency in verbal and written skills including an excellent working knowledge of correct grammar spelling and English and Spanish usage.
  7. Demonstrated competencies with high quality customer service and people skills including the appropriate use of telephone etiquette in handling a multiline system;able to maintain effective positive work relationships with students staff parents and the general public; the use of courteous communication with difficult people; and the ability to maintain confidentiality.   8. Ability to work independently in an interrupted environment; exercising sound organizational judgment setting priorities and initiating tasks.
  9. Demonstrated ability to independently learn new procedures processes and use new equipment. This is critical for technology skills necessary to be successfulafter thorough training able to use appropriate applications ofPowerSchool and Access.
  10. Evidence of an ability to provide a friendly caring invitational and safe atmosphere in the school office.
  11. Evidence of an ability to work under pressure and with interruptions while maintaining a positive attitude.
  12. Evidence of excellent attendance punctuality and dependability; evidence of ability to be selfdisciplined and a selfstarter and ability to meet deadlines.
  13. Positive evaluations and recommendations.
  14. Willingness to perform other related job duties as assigned.
  15. Willingness to work through summer school for additional compensation.

QUALIFICATIONS PREFERRED

  1. Experience with Power School or other student management software
  2. Evidence of accuracy and ability to meet deadlines
  3. Successful experience working with high school aged students. Must enjoy young people and have a sense of humor.

JOB RESPONSIBILITIES

The secretary in this position will:

  1. Be responsible for entering managing and maintaining student records and other pertinent student information maintaining the confidentiality of student records and information as appropriate.
  2. Input computer entries for discipline and attendance
  3. Contact parents of absent students
  4. Verify attendance notes and write attendance slips.
  5. Prepare and mail attendance letters.
  6. Manage and maintain ASB budget records and requests.
  7. Manage ASB Pcard including monthly reconciliations.
  8. Help facilitate scholarship disbursements through ASB.
  9. Develop a positive collaborative working relationship with allschool staff.
  10. Assist as appropriate the school administration in the operation of the school. This includes translating into Spanish when necessary.
  11. Perform all duties of the position within the scope of Kennewick School District policies and procedures including regular attendance and punctuality.
  12. Work TriTech Summer Academy which typically operates from the day school gets out until right before teh 4th of July. Will be compensated for the extra day or two beyond regular contract.
  13. Attend some evening building operational events as needed.
  14. Work cooperatively with students parents teachers and administrators.
  15. Perform other related duties and responsibilities as assigned/requested by the supervisor.
