Job Description

OS&D Clerk II

Join the Corporate OS&D department as an OS&D Clerk Level II.

The OS&D (Over Short & Damaged) Clerk Level II position involves managing and resolving discrepancies in the freight shipments while following all established OHFL policies and procedures.

Essential Duties and Responsibilities:

  • OS&D is the primary responsibility for a single or multiple terminals.
  • Manages OS&D freight and reports directly to the OS&D Supervisor with indirect reporting to the Office Manager.
  • Investigate and resolve freight exceptions such as overages shortages damages refusals & unmarked freight.
  • Communicate effectively with internal & external customers to resolve shipping & freight issues.
  • Maintain an accurate and up to date OS&D working manifest for the terminal/s.
  • Serve as the primary point of contact for all OS&D issues for the terminal/s.
  • Coordinate educate & train terminal contacts to assure OS&D issues are addressed in a timely manner.
  • Assume administrative & investigative duties for all OS&D issues for the terminal/s.
  • Generate maintain & submit accurate OS&D reports.
  • Establish and maintain consistent processes with each terminal in communicating OS&D freight.
  • Serve as the 1st line resource to train and educate OS&D practices to less experienced personnel within the terminal/s and with direction from the OS&D Supervisor.
  • If includes remote terminals communicate regularly and disseminate information timely to each terminal while taking into consideration their hours of operation.
  • Educate Driver and Dock personnel on properly marking freight going into OS&D.
  • Is familiar in and able to assist with Hazardous Material policies. To include marking storage disposal & movement. Maintain NonHazardous & Hazardous Waste Inventory as assigned.
  • Provide access to OS&D Manager/Supervisor and Terminal/s Leadership to the OS&D Working Manifest via a Shared File.
  • Participate in Teams Meetings as scheduled.
  • Participate in L&D Trainings as required.
  • Participate in Driver or Dock meetings as requested.
  • Maintain the OS&D designated area to include:
    • Designated OS&D trailer/s to be locked nothing in or out without the clerks knowledge.
    • The OS&D trailer/s to be permanently staged and assigned to a dock door.
      • When not staged coordinate with Terminal/s Leadership to identify a block of time for the trailer/s to be brought to the dock.
  • The dock must be cleared of all OS&D daily.
  • Maintain a neat and organized OS&D work area.
  • Perform daily dock checks to identify potential OS&D issues.
  • Proactively identify patterns and/or inconsistencies with customers freight.
  • Perform quality control inspections on freight shipments as requested.
  • Organize administer & investigate all OS&D issues. To include:
    • 43 Undelivered Freight Screen (F7OS&D)
    • 238 Missing Image Screen (if OS&D generated)
    • 31 Shortage Screen
    • 34 Unidentified/Unmarked Screen
    • OS&D Working Manifests
    • OnHand Notices
    • Mapping
    • APBs
    • Disposition / Value Requests
    • Hazmat Corrected Bills of Lading
    • Cross check all SLC Exception Reports
    • Utilize the AS400 tracing screens
    • Returns Free Astrays & CBLs (using appropriate terminal PRO#s)
    • Salvage & Disposal Requests
    • Assist with Bad Addresses as requested.
    • Request Inspection Waivers
    • Order freight inspections from 3rd Party Vendors
  • General office duties and other duties as assigned.

Experience Skills and Qualifications:

  • Forklift certification required.
  • Minimum 2years experience working in Transportation.
  • Minimum 2years experience working in OS&D.
  • Demonstrated ability to work with challenging or difficult customer situations and resolve issues successfully.
  • Excellent communication skills both written and oral.
  • Strong PC proficiency and experience using MS Office products.
  • AS400 experience preferred but not required.
  • Strong attention to detail and demonstrated ability to organize multiple priorities and projects simultaneously

  • Have good analytical investigative and critical thinking skills.
  • H.S. diploma or GED/equivalent required.
