Applicants must be currently authorized to work in the United States on a fulltime basis.


Summary The EDI Account Specialist oversees all Order Entry Exports and EDI related matters from the entering process to the point of invoicing. Will have to work with computers to create and edit word processing documents spreadsheets and miscellaneous projects as well as being familiar with our ERP and Transaction Manager systems.


The position collaborates with the departments of shipping and sales to achieve accuracy.


Essential Duties and Responsibilities


Client Portfolio Management:

  • Perform data entry sales order entry and invoicing across different platforms.
  • Manage and attend to emails professionally and in a timely manner.
  • Receive incoming calls and collaborate closely with the office team.
  • Maintain uptodate customer instructions and invoicing details.
  • Develop standards and best practices for handling complex orders.
  • Assist in filing and other officerelated duties.
  • Operate office equipment such as photocopiers scanners and voicemail systems.

Shipping Process:

  • Prepare documentation for export clearance.
  • Select carriers and shipping dates.
  • Maintain shipping logs.

EDI Management:

  • Set up new customers items and locations in the system.
  • Update and correct errors in exporting orders.
  • Address unique EDI matters such as setting up ASN labels retesting certification and revisions for SKUs and conversion factors.


Additional Responsibilities:

  • Fill in for other department positions during absences.
  • Regularly update the manager and supervisor regarding workload and changes.


Requirements

Education and/or Experience

  • High school diploma or GED.
  • 35 years of experience in a logistics office (domestic and international paperwork exposure) or
  • 12 years experience as an administrative assistant in a professional office environment.
  • Or an equivalent combination of education and experience.

Language Skills

  • Ability to read and interpret documents such as safety rules operating procedures and manuals.
  • Ability to write routine reports and correspondence.
  • Strong verbal communication skills to speak effectively with customers or employees.

Mathematical Skills

  • Ability to perform basic arithmetic operations such as addition subtraction multiplication and division.
  • Ability to calculate rates ratios percentages and interpret bar graphs.

Reasoning Ability

  • Ability to follow written oral or diagrambased instructions.
  • Problemsolving skills to handle several concrete variables in standardized situations.

Computer Skills

  • Proficiency in Microsoft Outlook Microsoft Excel Word and other office software.
  • Experience with Manufacturing software and basic technical understanding of HTML.
  • Familiarity with Nitro Adobe and internet software.


Other Skills and Abilities

  • Ability to multitask and work under pressure in a fastpaced environment.
  • Attention to detail with strong organizational skills.
  • Ability to work as part of a team and adapt to changing priorities.
  • Ability to communicate clearly both in writing and verbally.
  • Fluency in both English and Spanish is a plus
  • Flexible schedule availability during quarterly inventories.


Physical Demands

  • Regular sitting hand usage talking and hearing.
  • Frequent walking and occasional standing or climbing.
  • Occasional lifting and/or moving up to 10 pounds.
  • Specific vision requirements including close distance and depth perception.


Work Environment

  • Moderate noise level typical of an office environment.
