Position Summary:
Florida Atlantic University is seeking an Office Manager within Academic Affairs. The Office Manager executes a wide variety of administrative duties for the Testing and Certification Department.
Summary of responsibilities include but are not limited to:
- Perform all duties associated with being an HR Partner within the Testing and Certification and Test Preparation departments in relation to all personnel functions to include job requisitions interviewing candidates hiring process update of OPS contracts terminations promotions and clearances and the associate paperwork concerning these actions.
- Assist the Director with payments of contracts and agreements. Keep all vendors files current and ensure blanket orders and standard purchase orders are generated to pay for services.
- Prepare requisitions for purchase orders and budget transfers. Monitor and pay expenditures in a timely manner.
- Ensure that all office and test supplies are ordered in a timely manner to include Prometric and ensure office equipment is routinely in service and kept in operational condition to include testing scanners copier etc.
- Assist the Director by utilizing Banner and Workday to track expenditures and revenues on all department budget accounts monthly and yearly.
- Assist the Director with maintaining operational budget for Testing and Certification and Test Preparation Departments.
- Assist the Director in preparation and revisions of position descriptions.
- Maintain and ensure all input and submission of time has been completed for Testing and Certification and Test Preparation Department. Run payroll certifications per pay period to be checked by Associate Director.
- Maintain all files on various test payments receipts for compilation of revenue and expenditures and assist in projecting budgets needs throughout the fiscal year.
- Responsible for ensuring all paper checks received are deposited in a timely manner for the Testing and Certification Department.
- Prepare all travel Spend Authorizations and Expense Reports for Director and assist all travelers with completing forms required for travel.
- Reconciles travel in a timely manner once department personnel have returned from their trip by utilizing Workday (or any other system) to input all travel expenditures and reimbursement.

Minimum Qualifications:
A high school diploma and five years of appropriate experience required. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.
Ability to work alone or in a team environment required.
Experience with purchasing and other fiscal related processes required.
Strong computer skills: Microsoft Word Outlook required.
Motivated selfstarter with the ability to take initiative and carry out tasks thoroughly and effectively required.
Excellent verbal and written communication skills along with excellent interpersonal and organizations skills required.
Proficiency in writing reading and speaking the English Language required.
