Main purpose of the job
To optimise distribution performance and efficiency and client / customer satisfaction by ensuring timely and accurate receipt processing and dispatch of product.
The Distribution Controller will be working with his/her peers to ensure he/she understands the entire dispatch operation from end to end.
Reporting structure
The Distribution Controller directly reports to the Operations Managers.
The Distribution Controller is responsible for all departments and could result in a placement within any operational department on site.
Direct reports will be: Team Leaders of the various departments.
Major accountabilities / Areas of responsibilities
- Management of daily activity
- Oversee the performance of the various departments including capacity planning resource planning cost of resource and contribute to the daily MOP and weekly planning process
- Identify and inform the agency resource requirements for next 24 hours and monitor agency service to agreement redeploying staff where necessary
- Investigate and understand any deviation from above performance measures and where possible rectify to prevent repeat cause
- Provide operational advice and low level decisions to dispatch departments
Result: The distribution process is managed in an efficient / effective and consistent
way issues are handled timely and correctly to be able to deliver first class customer satisfaction.
- People Management
- Ensures the availability and commitment of permanent and temporary employees with the right set of skills to perform the activities in the department
- Reviews the performance of Operatives and Team Leaders including productivity accuracy attendance and coordinates performance / disciplinary meetings as necessary
- Points out outstanding performance within the department and nominates individual for local spot awards vouchers and employee of the quarter recognition.
- Manages cross training to ensure flexibility across distribution departmental teams including Team Leaders.
- Coordinate appraisals one to one coaching and other HRrelated interviews with employees;
- Coordinates regularly communication briefs and keeps employees informed on relevant developments / company information as issued;
- Makes decisions in conjunction with departmental Team Leaders in relation to recruitment promotions and transfers of warehouse operatives and ensures timely ;
- Ensures conformance to HR policies and practices in relation to employee relations issues.
Result: Effective efficient and consistent standards of people management across the dispatch operation from which the staff are motivated and operational objectives are met.
- Provide (management) information and timely communication
- Contribute to the MOP process;
- Ensure departmental Visual Management practices are in current use;
- Deliver performance management data for the purpose of periodical departmental review;
- Provide (other) management information (on request) internally within SCS;
- Ensure correct and timely communication of relevant developments / performance issues to Operations Managers
- Support knowledge transfer across all operational departments including returns operations by sharing best practices and improvements.
Result: Relevant information is provided in such a way that all stakeholders are
informed (timely in a correct way) on the performance of the department and other (important) developments and projects.
- Vantiva Continuous Improvement Programme
- Promote the foundations of TCIP including 5s visual management boards Kaizen activities and lean processes.
- Analyse performance results and takes proactive and appropriate action plans if needed;
- Proactively come up with crossdepartmental improvement ideas to eliminate waste and improve service
- Facilitate agreed upon improvements in Supply Chain Services
Result: Improvement plans are defined and implemented.
5. Perform other activities (related to the job)
Participate in project groups related to the of the job;
Ensure of all other job related tasks and activities.
Result: All other activities are correctly and timely performed
Qualifications :
Knowledge requirements
- Relevant logistics supervisory experience preferably in a 3rd party environment
- Good understanding of resource planning people management customer demand planning distribution and change management processes
- Awareness of cost management
