Duties and Responsibilities

  • Under the general direction of the Head Football Coach the Director of Football Player Personnel assists the Football General Manager with the NCAA Division I Football Bowl Subdivision recruiting including scouting evaluating and identifying potential studentathletes and managing roster management and assists the Head Football Coach with day to day tasks.
  • *Provides daytoday personnel and recruiting tasks of broad scope and significant complexity under the general direction of the Head Football Coach and the General Manager.
  • *Assists football coaches in the recruiting and admission process to ensure required information and documents are provided to the Athletics Departments Compliance and Student Services Offices for each prospect including campus tours game day visits and National Letter of Intent process. Keeps the coaches updated as to scholarship counts from Athletics Student Affairs.
  • *Official Visits: Coordinates all arrangements for recruiting weekends which including but not limited to NCAA compliance paperwork (i.e. transcripts NCAA Clearinghouse ACT/SAT scores etc. hotel pairing of prospects and parents if necessary flight arrangements arranging recruit and student host entertainment allowance arrange 48 hour itinerary (i.e. tour of stadium and campus reservations for all meals offcampus tours etc. and schedule appointments with academics athletic administration training room strength and conditioning coaches equipment manager position coach and head coach. *
  • *Unofficial Visits: Creates an itinerary for the unofficial visits which include facilities tour academic meeting meeting with position coach and head coach if necessary.
  • *Game Day Visits: Oversees the entire game day visits process which includes formulating the recruiting list supervising the prospects and making sure that prospects meet coaches. Provides prospects a tour of the stadium field and locker room and opportunity to interact with coaches and studentathletes.
  • *Junior Day: Coordinates visit to the University of Hawaii for orientation of high school Junior prospects. The day includes a tour of the upper and lower campus briefing with academic advisers meeting with coaching staff and strength and conditioning staff.
  • *Coordinates the Letter of Intent process. Works with the Compliance Office to ensure all NCAA forms and required information is provided to send the Official Letter of Intent to the prospective studentathlete.
  • *Updates football coaches on the various recruiting periods (i.e. dead quite evaluation and contact periods). Plans and creates a calendar for dates that coaches are on the road. Coordinates itineraries for spring recruiting and monitors their whereabouts daily. Coordinates and monitors position coach and head coach home visits during recruiting.
  • *Determines which recruiting services to purchase and use to maximize recruiting efforts.
  • *Assists the Head Coach and General Manager on the creation and implementation of the team roster. Forecasts short term and long term roster management.
  • *Oversees recruiting board and rankings keeping them uptodate with offers grades and visits.
  • *Oversees all transfer portal recruiting provides updates to the Head Coach and General Manager so decisions can be made for transfer portal recruiting.
  • *Accountable for accuracy of count on scholarship studentathletes on the team and how many initials (new studentathletes coming in for the school year) the football program has.
  • *Keeps track of the Academic Progress Rate (APR) for the football program (i.e. tracking of studentathletes not graduating transferring going to the pros etc.. and seeing if other studentathletes need additional assistance to graduate.
  • *Creates and implements the mailing plan for mass mailings. Manages the student assistants to ensure mailings are going out in a timely manner.
  • *Monitors all recruiting websites daily and shares recruiting related articles for the file and coaches.
  • * Coordinates academic related activities of the football program with coaches staff and studentathletes and ensuring compliance with academic policies and procedures.
  • * Meets weekly and works closely with academic advisors as to the academic progress of each studentathlete and keep the coaching staff informed. Follows up with coaches and studentathletes on any concerns or issues the academic advisors may have.
  • * Ensures effective communications within the football program regarding programs and activities to ensure the academic success of the studentathlete.
  • * Promotes monitors and implements the academic support activities as set by the Academic Improvement Plan for football including developing implementing and monitoring a program to ensure class attendance. Assist in implementing the Football Academic Performance Plan including keeping the program updated as to the Academic Progress Rate (APR) and Graduation Success Rate (GSR).
  • * Keeps abreast of changes/updates with applicable Conference and NCAA rules and regulations related to football. Works in conjunction with the Athletics Compliance Office in conducting training and rules education to coaches studentathletes and boosters.
  • Actively participates in promotional and public relation activities for the football program.
  • *Works closely with the Athletic Compliance Office to ensure the Football Program is in compliance with all Conference and NCAA rules. Successfully passes NCAA rules test on an annual basis.
  • *Maintain collaborative working relationships with administrators and coaches in the department other college offices and appropriate relationships with members of the media donors and other individuals interested in the Athletics Department.
  • Maintains confidentiality to include but not limited to information files and records that the incumbent may obtain or possess in accordance with federal and state laws and University of Hawaii policies.
  • Knows recognizes and complies with the laws policies rules and regulations governing the University of Hawaii and its employees and the rules of the NCAA and affiliated conferences as now constituted or as may be amended in the future. Immediately advises the Director of Athletics or designee if there is reasonable cause to believe violations whether by employees or students have occurred or will occur.

  • Performs other duties assigned by the Head Football Coach.

Note: Duties may adjust as changes occur to the NCAA Bylaw 13.

* Essential functions of the position.

Minimum Qualifications

  • Possession of a baccalaureate degree in business administration arts and sciences humanities social sciences natural sciences education or related field and three 3 years of progressively responsible professional experience with responsibilities for program management in intercollegiate athletics including but not limited to NCAA compliance recruiting and academic support; or any equivalent combination of education and/or professional work experience which provides the required education knowledge skills and abilities as indicated.
  • Knowledge of football as competed at the collegiate level.
  • Ability to establish and maintain effective working relationships with coaches studentathletes and work with all segments of the University of Hawaii community and the general public.
  • Demonstrated ability to recognize problems identify possible causes and resolve the full range problems that may commonly occur in the area of intercollegiate athletics operations.
  • Demonstrated ability to understand oral and written documentation write reports and procedures and communicate effectively in a variety of situations.
  • Ability to work outside normally scheduled work hours including day night weekend and /or holiday hours as directed.
  • Ability to travel with the team as required.
  • Demonstrated ability to exercise discretion and sound analyses to a variety of administrative support program management or related issues.
  • Ability to handle confidential information with a high level of tact discretion and diplomacy.
  • Excellent organizational and time management skills.
  • Ability to work effectively and independently under pressure with frequent interruptions and remain flexible in handling several concurrent projects with competing deadlines.
  • Ability to provide excellent customer service.
  • Genuine interest and passion for intercollegiate athletics.
  • Demonstrated ability to pay attention to details.
  • Valid drivers license.
  • First Aid CPR and AED certification by the employment start date.
  • Computer cell phone and social media technology competency.

Desirable Qualifications

  • Division I program management experience in football.
