What We Are Looking For

Baylor Law School is seeking an Events and Deans Suite Coordinator to take the lead on event planning for special events hosted by Baylor Law School and provide administrative support to the Deans Suite. This position requires confidentiality a positive attitude attention to detail commitment to a quality work product strong organizational skills an ability to work independently and proactively and an ability to learn and work collaboratively as part of a team.

A Bachelors Degree and less than a year of experience are required. A Bachelors Degree and 3 years of relevant experience are preferred. A combination of education and experience will be considered in lieu of one another. Event planning experience is preferred.

Applicants must be currently authorized to work in the United States on a fulltime basis.

What You Will Do

  • Foster a welcoming environment by greeting all Baylor Law School faculty staff students and guests to the Deans Suite answering the primary phone in a friendly manner and promptly directing inquiries to the appropriate departments.
  • Manage the daytoday activities of the Deans Suite.
  • Manage and coordinate the implementation of special events hosted by Baylor Law School.
  • Serve as the initial contact for scheduling events and maintain relationships with vendors as needed.
  • Lead and facilitate meetings to ensure a clear understanding of event needs.
  • Provide recommendations to best meet the needs and expectations for special events.
  • Coordinate physical setup and tear down of all special events.
  • Assist with managing a calendar of Law School events and assist faculty staff and students with room reservations.
  • Hire manage and train student workers for the Deans Suite.
  • Prepare and submit expense reports for the deans and Deans Suite staff.
  • Coordinate with custodial services and maintenance to maintain the Sheila & Walter Umphrey Law Center and manage followup system on pending work orders.
  • Serve as the lead contact with security personnel and manage cardswipe access to the building.
  • Assign student lockers and lead on locker maintenance.
  • Sort and distribute mail accept deliveries and assist with law school mailing projects.
  • Maintain inventory of office supplies and initiate maintenance of office equipment as needed.
  • Provide administrative support to the deans as needed.
  • Coordinate with and assist faculty office managers and other law school departments as needed.
  • Provide support for law school events on occasion.
  • Maintain knowledge of and comply with Baylor University policies and procedures.
  • Perform other tasks and provide administrative support as assigned.
  • Perform all other duties as assigned to support Baylors mission.
  • Ability to comply with University policies.
  • Maintain regular and punctual attendance.
