We are looking for you as a Receptionist managing frontofhouse services and reception duties and ensuring efficient facilities services delivery. Your main tasks are:
Customer Service
Greet all visitors with a warm welcome creating a memorable experience.
Assist and direct visitors to the appropriate staff member always maintaining security protocols.
Knowledge of office services spaces and amenities available to share with guests helping them feel welcomed and productive.
Greet assist and direct candidates/new hires/visitors and the general public to the appropriate staff member.
Receive direct and relay telephone email and other queries
Maintain the reception area in good order
Administration of parking spaces for visitors and employees
Arrange taxis for client staff and visitors are requested
Book onsite meeting rooms and hospitality as per client requests and according to site procedures
Mail and courier duties
Immaculate personal presentation and the ability to ensure that the Front of House team maintains a professional image and standard of at all times
Ensure all Front of House tasks such as visitor preregistration; mailbox management and event checkin desk/s are completed daily.
Track all visitors including vendors visiting employees and guests using client provided tool.
Coordinate security access cards for employees and vendors
Coordinate printing and issue of visitor badges.
HSE Security & Quality
Demonstrate permanent high level of security awareness knowledge of emergency
evacuation procedures procedures for visits from local authorities as well as general Health & Safety
Issuing of ID and access badges for new hires/vendors/visitors and maintaining record of same.
Monitor and maintain office and badge consumables in line within agreed stock levels.
Maintain the security signin book
Understand & actively support JLLs Quality Management program
Site Operations
Conduct daily meeting room checks when in satellite offices or as required by Facilities Manager
Prepare & serve hot beverages layout & clear away catering when in satellite offices or as required by Facilities Manager
Handle/Assist with incoming and outgoing mail enquiries according to the existing procedures
Assist in coordinating the repair and maintenance of office equipment and in the ordering in of office supplies.
Ensure accurate and detailed hand over is planned & passed on (for tasks for within responsibility) if absent from the business Additional Duties and Responsibilities
Promotes high level of satisfaction among property management team members and The Client users by promptly responding to their service requirements. Assures prompt response by other team members and selected contractors through dispatch voice mail and / or other direct contact
Provides administrative support to the Facilities Team
Acknowledges role as management office ambassador.
Ensures that the firms image is reflected through proper telephone and reception procedures and quality service.

Proficient with the use of Microsoft Office tools and Conference technology Experience
Hotel Reception / Concierge experience desired/ Running a front desk
Minimum leaving certificate
Proficiency in English alongside fluency in the local language is highly desirable.
First Aid desirable
