What you will do

We are seeking a high impact individual with exceptional organizational and administrative skills to support the Head of Production Agency & FHA Lending in a dynamic clientfacing role. The successful candidate will facilitate a wide variety of administrative tasks and executive support functions that are critical to the success of a fastpaced and demanding business. The executive you will be supporting is based out of Arlington VA but frequently travels necessitating seamless coordination. The executive oversees a large team requiring adept handling of complex scheduling communication and administrative tasks. This position requires extraordinary judgment and the ability to manage multiple priorities efficiently.

This role is part of a centralized administrative team that operates as a hubandspoke business function supporting all executives across the business while leveraging centralized training education communication and team support. This role will report to the Administrative Regional Lead while serving as the primary administrative partner to the Head of Production Agency & FHA Lending. In addition to supporting this executive this role will take on broader administrative responsibilities which may include assisting with special projects collaborating with other administrative professionals and providing support for crossfunctional initiatives as needed.

What you can expect

  • Provide exceptional administrative support for lead executive and work closely with her on supporting the efforts and goals of the team.
  • Monitor requests and correspondence of a key executive. Keep a running list of priorities and execute with speed efficiency and a sense of urgency.
  • Manage complex everchanging executive calendars for key executive and members of the team as needed.
  • Ensure the executive is fully prepared for meetings presentations and speaking engagements by managing schedules gathering necessary materials and facilitating seamless communication between all stakeholders.
  • Act as a gatekeeper to prioritize how the executives time is spent.
  • Book and manage frequent complex travel arrangements including flights hotels and itineraries with flexibility for frequent changes.
  • Coordinate and arrange on and offsite meetings including but not limited to selecting the venue contract negotiation planning for food and beverage needs and preparation of slides and materials including agendas.
  • Oversee executive email inbox prioritizing flagging and responding to correspondence as necessary.
  • Compile information and create reports using various software including MS Office.
  • Prepare and submit detailed weekly and often complex expense reports.
  • Register Executives for conferences and maintain trade association memberships and subscriptions.
  • Learn and understand the business to help executive prioritize her daily weekly and monthly objectives.
  • Manage confidential or highstakes communication with discretion ensuring secure and professional correspondence.

What you will bring:

  • 6 years of experience as an Executive Assistant in a fast paced and demanding environment
  • A mastery of all Microsoft Office applications (Word Excel PowerPoint and Outlook).
  • A high degree of professionalism and strong work ethic coupled with a sense of responsibility and integrity.
  • Discretion required in handling highly sensitive and confidential information in a respectful and confidential manner.
  • Ability to think creatively and be a problem solver adaptable and results driven.
  • Ability to handle multiple tasks: excellent time management and organizational skills.
  • Strong work ethic initiative and good judgment.
  • Excellent interpersonal and communication skills both verbal and written.
  • High level of motivation and enthusiasm.
  • Problem solving and solid attention to detail.
  • Ability to work independently with minimal supervision work under tight time constraints and be able to prioritize work.
  • Ability to work well with and partner with other administrative and professional staff.
  • Flexibility to work overtime on an as needed basis is required.
  • Ability to travel as needed.

Note: Prudential is required by state specific laws to include the salary range for this role when hiring a resident in applicable locations. The salary range for this role is from $75000 to $115000. Specific pricing for the role may vary within the above range based on many factors including geographic location candidate experience and skills.
