Position Summary
The Center of Excellence of Excellence for Minority Women in STEM COE MWS Program Manager manages and leads the development recruitment marketing and implementation of different initiatives/programs for the COE MWS . In addition this position is responsible for identifying implementing and managing improvements to program policies and processes in coordination with the COE MWS leadership. This position works closely with the COE MWS leadership and reports directly to the Associate Provost for Research. The incumbent is integral to the management and growth of the COE MWS support to students faculty and external constituents. NOTE : This position is currently funded through September 30 2023. Continuation after this date is contingent on grantfunding renewal.
Essential Duties And Responsibilities
Collaborates with and supports the COE MWS Leadership: Leads the development and of publicity/marketing strategies and efforts regarding programming & initiatives for the COE MWS Contributes significantly to writing and monitoring of grants contracts and cooperative agreements that support the COE MWS Creates and implements a comprehensive approach for disseminating program information to a range of constituencies and maintaining accurate records Innovates and leads updating the Centers website and makes recommendations regarding general communications/marketing efforts for the COE MWS Manages logistics and develops agendas/presentations for all COE MWS meetings and events (internal and external) Leads the development and documentation of COE MWS policies and procedures Works closely with the Office of Communications personnel on stories and social media planning Coordinates travel arrangements for faculty scholars and external constituents Develops effective systems that regularly evaluate program components and measure successes that can be effectively communicated to COE MWS Leadership funders and other constituents Manages budget and procurement functions for the COE MWS which may include Title III grants from federal agencies and corporations as well as other budgets as assigned Prepares and maintains data documentation statistics and survey results for reports. Manages the implementation of COE MWS student initiatives and scholarship programs including the DoD Academic and Research Scholar Programs: Serves as the primary point of contact and interfaces with the scholars through oneonone sessions community learning sessions and social activities Directs and implements consistent processes for the selection of students to participate in COE MWS programs including obtaining input from COE MWS leadership and appropriate faculty in the Division of Natural Sciences & Mathematics NSM and the Division of Social Sciences & Education SSE Develops and/or processes paperwork for scholarships stipends per diems travel reimbursements or the disbursement of other funds for students and their faculty mentors Handles highly sensitive information such as student pay evaluations student registration or student scholarships Leads the marketing and communication of COE MWS student programming and initiatives Creates and maintains participating student database including tracking application and acceptance rates for graduate and professional schools Organizes graduate school visits for participating scholars as needed Works collaboratively with the Undergraduate Research & Training Programs Manager in the Office of Research Innovation and Collaboration ORIC to support activities related to grantfunded undergraduate research and training programs : Develops and facilitates ongoing academic workshops community learning sessions professional development workshops and bootcamps as well as social activities (e.g. student end of year events) Serves as liaison with NSM & SSE faculty to help identify develop and/or provide research opportunities for Spelman STEM majors Advises participating scholars on potential summer research graduate and professional school and employment opportunities related to each students longterm goals Cultivates and manages relationships with internal and external partners including but not limited to: Spelman College divisions and departments graduate and professional schools government laboratories internship and research programs and corporations Conducts research on effective undergraduate student programs to broaden participation in STEM Manages the logistics for funding supports and other COE MWS initiatives for faculty : Works closely with the COE Steering Committee on the application and selection processes Develops shares and markets information about the various opportunities along with the deadlines Creates an effective mechanism for documenting how the funding was used and the outcomes by working collaboratively with the evaluation team Creates presentations about opportunities and the work of the COE affiliated faculty to promote the COE MWS Spearheads strategies and seeks ways to engage and connect faculty in STEM fields Participates in conferences and other meetings and events that promote COE MWS initiatives and programming Represents the COE MWS in local statewide and national professional networks and organizations SUPERVISORY RESPONSIBILITIES COE MWS participants (student scholars) and general college students

Required Qualifications
Bachelors degree in a STEM or STEM education field with a minimum of five years of administrative and project management experience required. This position requires familiarity with researchvalidated strategies for improving the accessibility and quality of STEM education and research strengthening partnerships and delivering highquality professional development. The ideal candidate for this position is selfmotivated resourceful and proactive; Additionally has a strong work ethic excellent organizational and time management skills. Professional demeanor with the ability to interface with internal and external customers with diplomacy tact and confidentiality is essential. Independent judgment is necessary to plan prioritize and organize a diversified workload with attention to detail. Work requires factfinding internet navigation and compilation skills plus ability to perform a variety of tasks simultaneously with little supervision. The ability to work effectively under pressure demonstrate initiative and promote teamwork is a key asset in the role. Excellent oral communication skills are required when providing information and responding to questions from internal and external customers and COE MWS leadership. Excellent writing and proofreading skills are essential. The individual must be able to write various professional documents such as business correspondence proposals and procedure manuals plus compose memos letters and emails. To perform this job successfully an individual must have advanced level computer skills using the Microsoft Office Suite (Word Excel and PowerPoint). In addition to producing correspondence duties may involve assignments that require creating presentations (PowerPoint CANVA Prezi) newsletters reports tables graphs and complex spreadsheets containing formulas and pivot tables. The use of applications such as SmartSheet Ellucian Banner Financial Module Qualtrics Google Forms and social media platforms are an essential component of the job.

Masters degree preferred.
