PARTTIME TRANSCRIPT SECRETARY
JOB DESCRIPTION

Department: Admissions
Classification: Regular PartTime
Division: Enrollment
Reports To: Director of Undergraduate Admissions & Recruitment
Status: Part time 28 hours per week


POSITION SUMMARY:
The Transcript Secretary is a key administrative role responsible for receiving recording and managing high school and college transcripts required for university admissions. The ideal candidate ensures the accurate and timely processing of transcripts to support the admissions review process. This position requires strong attention to detail organizational skills and the ability to communicate effectively with internal and external stakeholders.

KEY RESPONSIBILITIES:

Transcript Management:

  • Receive and process incoming high school and college transcripts via mail email and electronic submission platforms.
  • Review documents for accuracy completeness and adherence to university admission requirements.

Record Keeping:

  • Accurately log transcript details into the admissions database and maintain uptodate records.
  • Organize and file physical and electronic transcripts securely ensuring compliance with institutional and legal requirements.
  • Collect finalofficial transcripts ensuring all admitted student records are up to date and complete.

Data Management:

  • Ensure student contact and application records are accurate and updated as needed.
  • Assist with duplicate record management.

Admissions Support:

  • Collaborate with admissions staff to verify transcript information and resolve discrepancies.
  • Provide timely updates to admissions officers regarding transcript receipt status.
  • Assist with other admissionsrelated projects from timetotime as needed or required.

Communication:

  • Respond to inquiries from prospective students current students schools and colleges regarding transcript submission requirements and procedures.
  • Communicate with high schools and colleges to obtain missing or corrected transcripts as needed.
  • Communicate with newly enrolled freshmen or transfer students who need to submit their final/official transcripts to continue enrollment.

Compliance:

  • Ensure adherence to institutional policies FERPA regulations and confidentiality standards when handling student records.

Process Improvement:

  • Assist in refining and optimizing transcript processing procedures to improve efficiency.

Other:

  • Provide assistance as needed to the campus visit coordinator for daily visits and Valor Visit Days including scheduling appointments communicating with guests and set up/tear down during events.

Qualifications:

  • Education:High school diploma or equivalent; associate or bachelors degree preferred.
  • Experience:Minimum of 1 year of administrative or clerical experience preferably in an educational setting.

Technical Skills:

  • Proficiency in Microsoft Office Suite and database management systems.
  • Familiarity with admissions platforms (e.g. Common App Slate) is a plus.

  • Excellent written and verbal communication abilities.
  • Ability to handle sensitive information with discretion and professionalism.

Work Environment:

This is an officebased role with standard working hours. Occasional overtime may be required during peak admissions periods.

Compensation:

Salary commensurate with experience and qualifications.
