Job Description

THE ROLE

The Operations & Data Coordinator plays a critical role in ensuring all sites have effective and orderly school systems and information. Project work ranges from coordinating programwide information sessions maintaining studentlevel data student recruitment procurement events coordination and supporting daytoday operations (food service operation meetings staffing assignments). In addition to maintaining the programs information systems and operations Operations and Data Coordinator serves as a part of the graduate success team and interacts with a wide variety of stakeholders and must be able to effectively communicate with students teachers families and visitors. The Operations and Data Coordinator is supported by and reports directly to the Director of Operations.

WHAT WE ARE LOOKING FOR

  • Bachelors or Masters degree from an accredited college with relevant coursework in data analysis data design data analysis method data management and mathematics. Or relevant experience.
  • Demonstrated skills in the areas of database management and analytics for social service organizations.
  • Robust analytical skills with an ability to use quantitative and qualitative data to drive results
  • Expertise in one or more online database systems being used at OYN especially EffortstoOutcome (ETO) and Powerschool Performance Matters as well as ability to learn new data systems quickly and align program databases.
  • Excellent written and verbal communication skills with particular ability to present data and program information orally and in writing in nontechnical language.
  • Strong project management/plan development skills group leadership and organizational skills.
  • Commitment to OYN design and philosophy and unwavering belief that all students can excel.
  • Able to work well with limited oversight and direction.
  • Excellent technology skills including use of office productivity software.
  • Required criminal history background check and proof of U.S. citizenship or legal resident status.
  • Drivers license to travel to program sites for support training and implementation.

PERFORMANCE RESPONSIBILITIES

Data Systems and Support Responsibilities

  1. Collect and analyze data for various local network state and federal reports. (i.e. NJSmart Attendance NWEA Enrollment etc..
  2. Coordinate OYNs data management systems around students staff and stakeholders (ETO Powerschool Etc)
  3. Collaborate with peers Directors and Managers to coordinate transfer and syncing of data across various systems.
  4. Work with Directors and Managers to improve data quality and increase LEADs impact.
  5. Respond to data inquiries and requests to support a datadrive community.
  6. Organize analyze and present data from multiple disconnected and complex data sets to various stakeholders
  7. Develop handbooks and other tools to help staff learn the database and troubleshoot independently.
  8. Work with Directors and Managers to create a menu of professional development offerings including guides training videos and workshops and conduct training sessions at programs as requested.
  9. Work with Directors and Managers to train new staff in use of data systems and how to run reports in systems.
  10. Provide ongoing training and consultation around data to staff and provide training as needed
  11. Attend and participate in staff meetings to review data and database usage.
  12. Create and maintain strong working relationships with all users across LEAD and its partners strategies.
  13. Work supervisors to develop protocols and procedures for streamlining data processes.
  14. Carry out all other duties as assigned.

Operations Responsibilities

  • Support the procurement process by work with the main office to ordering supplies and maintain inventory
  • Support the tracking of procured goods and services from order to receipt and maintain an order process that supports providing resources to school stakeholders.
  • Independently and in collaboration with schoolbase and network recruitment teams recruit students and coordinate recruitment processes. This includes calling students coordinating enrollment intake carrying out homevisits and coordinating orientations.
  • Coordinate school based events including but not limited to backtoschool night parent teacher conferences TitleI information session graduation school trips and other miscellaneous community events.
  • Supporting the collection organization and maintenance of student enrollment files in accordance with local policies and procedures.
  • Carry out other duties and tasks as assigned

Graduate Success

  • Collaborate with members of the graduate success team to ensure each young person makes progress towards their IDP goals which includes earning their high school diploma and an industryrecognized certification/s. Work to ensure each young person is placed and retains placement after graduation.
  • Manage community partnerships to connect students with resources such as internships apprenticeships industry certifications and other opportunities that enhance their CTE experience.
  • Assist young people in navigating the requirements of their chosen pathways connecting them with relevant resources and ensuring they meet programspecific milestones.
  • Prepare students for postgraduation success by offering guidance on college applications scholarship opportunities and career exploration within their chosen CTE fields. Organize workshops and seminars to enhance their employability skills.
  • Regularly monitor young peoples IDP progress and wellbeing with a particular focus on those in CTE programs. Identify students who may require additional support such as tutoring career counseling or socioemotional assistance and coordinate interventions accordingly.
  • Foster strong partnerships between the school parents and local businesses or organizations related to CTE pathways. Keep parents informed about their childs progress and involve them in relevant school activities or initiatives.
  • Collect and analyze data related to CTE program outcomes including graduation rates postgraduation employment or education and young peoples satisfaction. Use data insights to continuously improve the CTE program and graduate services.

TERMS OF EMPLOYMENT

  • 12month employee.
  • Salary to be recommended by the LEADs Management Team and approved by the Board.

EVALUATION

  • Performance will be evaluated annually in accordance with the Boards policy on evaluation.
