Procurement Officer

Reporting to: Managing Director

As part of our ongoing growth we are seeking a Procurement Officer to manage procurement stock control and supply

chain operations. The successful candidate will play a key role in ensuring production efficiency supplier management and

costeffective purchasing within a highvolume manufacturing environment.

Person Specification & Required Qualifications:

Strong attention to detail and a highly organised methodical approach.

Ability to work under tight turnaround times while maintaining accuracy.

Minimum 3 years of experience in a crossfunctional role involving Customer Service Purchasing

Manufacturing Finance Production Planning and Supply Chain Management.

Experience in stock management supplier lead times and highvolume environments.

Strong IT skills particularly Excel with the ability to learn new systems.

Excellent verbal and written communication skills with the ability to build and maintain strong relationships both

internally and externally.

Strong interpersonal and influencing skills to drive supplier negotiations and internal collaboration.

Analytical mindset with problemsolving capabilities.

Proficient in data analysis statistical reporting and forecasting.

Experience in capacity planning and forecasting models.

A proactive continuous improvement mindset eager to learn and develop.

Training & Development:

Ongoing training will be provided on all inhouse procedures and systems.

Working Hours:

Monday Thursday: 08:30 17:00

Friday: 08:30 16:30

Lunch Break: 1 hour

Key Responsibilities:

Procurement & Supply Chain Management

1. Accurately order products based on sales forecasts and stock requirements.

2. Monitor and actively reduce unavailability and wastage meeting company targets.

3. Ensure 100 availability for standard seasonal and promotional stock.

4. Investigate and resolve any nondelivery or shortdelivery issues with suppliers.

5. Maintain strong supplier relationships staying updated on industry developments.

6. Review and approve invoice queries promptly to ensure efficient processing.

7. Assist with endofweek/month procedures including supplier credit claims.

8. Negotiate with suppliers to secure the best pricing and lead times.

9. Manage and maintain safety stock levels and minimum order quantities (MOQ).

10. Evaluate and reschedule purchase orders based on changing demand.

Production & Demand Planning

11. Develop and maintain accurate supplier forecasts ensuring alignment with production schedules.

12. Liaise with internal teams (production sales customer service) to ensure supply meets demand.

13. Use SAP and other systems to ensure accurate production schedule dates and stock updates.

14. Ensure timely stock transport orders (STO) and accurate availability information for customers.

15. Communicate production plans and forecasts to internal stakeholders.

16. Support meetings with relevant data and performance updates identifying potential risks or concerns.

17. Escalate critical supply chain risks to the Line Manager when necessary.

18. Prepare reports and statistics to inform key business decisions.

19. Identify opportunities for optimisation and process improvements.

Quality Control & Compliance

20. Process rejects and quality concerns in line with company procedures.

21. Work with Quality Control teams to ensure production accuracy and compliance.

22. Maintain a focus on continuous improvement contributing to the Opportunities for Improvement (OFI) register.

General Administration & Logistics

23. Handle all concessions works orders delivery notes and job files.

24. Perform arch calculations and bulk order scanning.

25. Manage shipment bookings (TNT Parcelforce Post).

26. Carry out general administrative duties related to production and procurement.
