Franklin University a private independent accredited notforprofit University located in Columbus Ohio invites applicants for its Administrative Assistant to the Executive Director of Admissions position. The Administrative Assistant to the Executive Director of Admissions supports the Executive Director of Admissions in facilitating the strategic direction of the department and supports efforts in the development implementation and assessment of initiatives that impact new student enrollment. The Administrative Assistant to the Executive Director of Admissions is expected to work actively in a team environment in support of the department and overall University initiatives.
This role will work on an onsite hybrid schedule.
Duties and Responsibilities:
Compile and manage daily weekly monthly and quarterly new student enrollment data reporting including conversion analysis historical trends etc.
Track projects and milestone completion providing updates to the Executive Director and reports as needed
Serve as a liaison to Institutional Effectiveness (IE) to ensure reporting is functioning correctly reporting enhancements are completed and data requests are received/completed.
Facilitate the direct connection between financial resource use and the departments purpose and principles including fiscal year budget preparation and midyear forecasting by serving as the primary budget manager.
Manage processes for credit card reconciliation and purchase orders for Enrollment Management.
Provide calendar maintenance for the Executive Director of Admissions via scheduling organizing and managing of meetings and initiative prioritization.
Serve as the primary taker and coordinator of meeting minutes: Responsible for meeting scheduling (attendees room technology etc. agenda development and recording and distributing of meeting minutes.
Coordinate all travel and professional development for the department.
Draft and send departmental communication.
Draft and create presentations.
Plan various meetings and events and assist in onboarding new employees.
Work collaboratively with other Administrative Assistants throughout the University to share best practices and support the overall needs of the University.
Take initiative to increase knowledge of the Enrollment Management process in order to be able to anticipate needs and recommend efficiencies.
Demonstrate flexibility in prioritizing and reprioritizing work as deadlines and circumstances change.
Maintain sensitive information entrusted to them in a highly confidential manner and uses discretion in knowing how much information to share with various constituencies.
Maintain electronic and hard copy files in an organized and logical manner.
Develop and maintain positive relationships at all levels across the University.
Perform other duties as assigned often in support of priority studentfocused projects and initiatives.
Minimum Requirements/Qualifications:
Associates degree or equivalent progressive work experience is required.
Ability to pull data from common data source(s) and organize/prepare written reports
Excellent oral and written communication skills with demonstrated ability to synthesize various communications into concise and meaningful documents.
Goal and resultsdriven with an ability to function both independently and collaboratively in a timesensitive environment.
Attention to detail data reporting ability to maintain records and files often confidential in nature for easy access and appropriate distribution.
Anticipate department needs demonstrate flexibility and problemsolving and reprioritize work as deadlines and circumstances change.
Highly developed technical competence with Microsoft Office Suite products including Word Excel and PowerPoint is required.
Preferred Skills and Characteristics:
Bachelors degree or equivalent.
Prior experience in higher education.
Prior experience in Power BI a Student Information System (Colleague preferred) and CRM.
Understanding of enrollment forecasting prospect assessment and their application to the decisionmaking process.
Additional Notes:
Hybrid work schedule with a minimum of 2 days per week on campus. Occasional evening hours may be required.
