Job Description

Position Title: Veterinary Business Manager

Department: Veterinary Services
Reports To: Director of Veterinary Services

Position Overview:

The Veterinary Business Manager (VBM) oversees the daily administrative and business functions of the Louisiana SPCAs Veterinary Services Programs: Shelter Clinic Spay/Neuter/Surgery Clinic and Primary Care Clinic. This role ensures operational efficiency while focusing on financial goals and excellent customer service.

Success in this role leads to:

  • Inspired staff and optimized revenue directly supporting the sustainability of our veterinary programs enabling us to serve more animals and families in need.
  • Future clinic expansion service innovation and longterm community impact.

Key Responsibilities

Leadership Management and Accountability

  • Lead and guide direct reports through expectation setting training and support and performance reviews.
  • Oversee daytoday team management including all clinic staff scheduling timeoff requests timecard monitoring and approval and monitoring performance.

Customer Service Excellence

  • Ensure exceptional customer service for all clients staff and volunteers by modeling effective communication and problemsolving skills.
  • Aggregate and track customer feedback regularly and address any service issues proactively to maintain high levels of satisfaction.
  • Resolve escalated customer concerns with empathy and professionalism ensuring positive outcomes even in challenging situations.

Inventory Management

  • Oversee supply and medical equipment inventory levels across theclinic.
  • Ensure the smooth operation of the online or inhouse pharmacy.
  • Verify that clinic operations meet all local state and federal regulatory requirements including but not limited to compliance with controlled substance management and radiation safety.

Financial Reporting

  • Monitor and measure financial and operational metrics are met while delivering the organizations desired impact.
  • Manage expenses including pharmaceutical orders and other operating costs ensuring adherence to budgeted limits.
  • Develop and implement strategies aimed at increasing revenue and optimizing overall financial health through effective pricing service offerings and resource management.
  • Create and execute comprehensive business plans focused on longterm
    financial growth including market analysis service diversification and client retention strategies

Operational Excellence

  • Work closely with the Medical Manager to ensure that operational workflows across all areas of veterinary services (Shelter Spay/Neuter and Wellness Clinics) are wellstructured and streamlined.
  • Regularly assess and implement improvements to internal processes to reduce inefficiencies minimize wait times and increase staff productivity.
  • Other duties as assigned

Data Management & Analysis

  • Analyze data related to service trends client satisfaction financial performance and operational efficiency to guide improvements.
  • Provide insights from data analysis to inform decisions about staffing resource allocation and process optimization.
  • Maintain secure and accurate medical records financial data and client information in accordance with regulatory requirements.

Requirements

  • Bachelors Degree in Business Administration or 5 years Managing administrative functions within a veterinary or healthcare setting.
  • Experience managing 4 direct reports
  • Must be 25 have valid State of Louisiana drivers license and a clean driving record

Skills & Competencies

  • Advanced skill inpractice management software online pharmacy operations and retail management.
  • Strong organizational skills and ability to manage multiple projects simultaneously.
  • Expertise in financial management including budgeting inventory management and optimizing operational efficiency in a healthcare or veterinary environment.
  • Ability to analyze data and generate actionable insights to improve clinic operations.
  • Bilingual preferred

Just a couple of other important points:

  • You should not be allergic to animals or nut products and must be able to work around all animals; you may be potentially subject to animal and insect bites and scratches.
  • Must be able to work with industrial strength cleaners and disinfectants as we have a very strict cleaning protocol.
  • Must be able to lift at least 50 pounds; push and pull heavy objects; bend twist reach; perform strenuous physical activities.
  • Must be able to act as a first responder during emergency situations.
  • Schedule may vary week to week. Weekends and evenings as required.
