Job Description:
Responsibilities
Provide a high level of dependable and professional inperson administrative support and coverage including reception of Provost Office inquiries visitors and phone calls.
Provide administrative support services to the Provost including processing mail; filing; telephone calls; overseeing cost center expenses and maintaining supplies.
Maintain the Provosts calendar including travel arrangements.
Prepare and proofread correspondence reports memorandums etc. Liaison between Provost Office to interface with and provide information and support to various faculty committees: Rank & Tenure Faculty Resource Faculty Governance Faculty Development Social Ethos.
Analyze and assign faculty scholarship requests.
Supervise and train student employees.
Manage incoming and outgoing correspondence for the academic studies office.
Act as a resource for faculty and staff inquiries on behalf of academic affairs.
Research compile and analyze data for special projects and prepare routine reports including but not limited to reporting Faculty Meeting attendance SAUL form regarding service for the Deans etc..
Plan and organize events including catering needs; taking minutes as required and creating/consolidating Power Point presentations.
Prepare and issue annual faculty contracts including but not limited to validating faculty data coordinating updates to the faculty salary scale using mail merge and Word templates and/or Workday resources for distribution.
Partner with the Office of Human Resources to ensure faculty contracts are processed accurately.
Maintain faculty employment documents.
Manage and provide oversight of the Provosts Office professional development cost center ensuring valid reimbursement requests are being processed and documented accordingly. ;
monitor and track sabbatical and RASP accounts and review/approve requests for reimbursements.
Distribute correspondence to Deans and faculty including but not limited to appointments promotion sabbaticals general announcements and events.
On behalf of the Provost Office liaison with Search Advocate candidates to determine interest and availability to serve on faculty search committees.
Approve business card proofs for all faculty.
Perform other duties as assigned.
Qualifications
Experience providing highlevel administrative support to a seniorlevel manager or executive
Proficient in Microsoft Office Suite (Word Excel PowerPoint Outlook) and Windows
Demonstrated ability to type efficiently and accurately in a fastpaced administrative environment
Strong command of English grammar spelling punctuation and formatting with excellent proofreading skills
Demonstrated ability to maintain a high level of accuracy and attention to detail
Proven experience handling confidential information with integrity and professionalism
Skilled in managing calendars coordinating travel and overseeing expense tracking
Experience preparing and editing professional correspondence reports and presentations
Strong organizational and multitasking abilities; able to manage multiple priorities under pressure
Evidence of Christian commitment and active church involvement. In addition staff agree to live in agreement with PLNUs Community Life Covenant.

Physical Requirements:
The work is primarily sedentary and may require sitting for extended periods of time.
Use of computer equipment: computer keyboard mouse and monitor.
Vision to read documents email and other correspondence and reports on paper and computer monitor.
Ability to communicate effectively with others in person and by phone.
Will also stand stoop push pull and lift up to 10 lbs throughout the day.
