Job Description

Job Title:Body Shop Office Manager

Department: Body Shop

Reports To: Body Shop Director

FLSA Status: Nonexempt

Prepared By: Human Resource Department

SUMMARY

Provides administrative support to body shop operations.

ESSENTIAL DUTIES

Essential Duties include the following. Other duties may be assigned.

  • Initiates Repair Orders for Internal/Dealership vehicles. Ensures those repair orders are completed and closed accurately.
  • Reconciles charge card receipts on a daily basis.
  • Accurately receipts all checks and cash to appropriate corresponding Repair Order.
  • Ensures insurance companies have received and approved supplements prior to release of vehicle to customer.
  • Communicates with insurance companies and business to followup on receivables on a daily basis.
  • Prepares an accounts receivable report on a monthly basis.
  • Accurately initiates purchase orders (POs) for vendors utilized by the body shop.
  • Ensures invoices and bills from vendors are forwarded to the business office. Collaborates with the dealership accounts payables clerk to ensure the bills/invoices accurately reflect goods or services are received.
  • Completes the tasks required by the body shop clerk in the clerks absence.
  • Maintains professional appearance.
  • Informs customers insurance companies and rental car companies of progress on repairs as needed.
  • Opens repair orders for all vehicles coming into the body shop for repairs.
  • Receives cash checks and credit card payments from customers and records the amounts received.
  • Closes repair orders on the computer system in a timely manner.
  • Files repair orders.
  • Completes payroll for weekly employees.
  • Follows up on body shop accounts receivable to maintain satisfactory levels of payment.
  • Assists body shop manager as necessary.
  • Prepares purchase orders for all vendors.
  • Assists body shop employees with completion of personnel forms.
  • Maintains a professional appearance and a neat work area.

SUPERVISORY RESPONSIBILITIES

Supervises one body shop clerk and several porters insuring each is fulfilling their duties insuring each is fulfilling their duties of cleaning vehicles keeping the shop and offices orderly and providing transport to customers.

QUALIFICATIONS

To perform this job successfully an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE

High school diploma or general education degree (GED); one year office and/or automotive body shorelated experience.

LANGUAGE SKILLS

Ability to read and comprehend simple instructions short correspondence and memos. Ability to write simple correspondence. Ability to effectively present information in oneonone and small group situations to customers clients and other employees of the organization. Ability to read and interpret documents such as safety rules operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

MATHEMATICAL SKILLS

Ability to add subtract multiply and divide in all units of measure using whole numbers common fractions and decimals. Ability to compute rate ratio and percent.

REASONING ABILITY

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations. Ability to apply common sense understanding to carry out instructions furnished in written oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
