Job Description

The Scheduler is responsible for the booking of shifts the effective day to day business operations providing
reports on an adhoc basis and as requested. He/she will establish continuous innovative improvement of
current services in order to provide an enhanced customer service experience. The Scheduler is responsible for
ensuring adequate staffing in the nursing department as per the schedule and licensing requirements while
adhering to the collective agreement regarding callin procedures.

KEY RESPONSIBILITIES:

Provides solution focused assistance to site staff
Ensures all shifts are filled to meet business needs
Responsible for the management of site workbook of vacant shifts
Manages sick time time & attendance records filling up shifts and scheduling
Prepares daily assignment sheets for the departments
Authorizes and affirms that overtime and agency use is minimal

Assures effective communication with management regarding unit staffing status and issues
Accurately inputs relief staff into shifts in Kronos
Enters accurate hours/pay codes are entered for relief staff
Liaison with Unit Clerks/Administrative staff
Works closely with Corporate Office for timely accurate reporting of unit change and coding
Provides backup for the following; resident and finance agreements resident refunds inventory
counts & lists
Compiles both relief hours & pools reports
Creates and updates telephone logs as appropriate
Updates flow sheets as necessary
Executes other reports as required
Compares budgets vs. accruals
Performs hourly tracking for site management

QUALIFICATIONS:


High School Diploma or GED required. Diploma in office management or related field preferred.
Minimum 2 years experience in same or similar role
Ability to operate related equipment i.e. word processing software and spreadsheet programs
Demonstrated proficiency in Microsoft Excel Word PowerPoint and Outlook
Preference will be given to those who have experience in a unionized health care environment
Excellent verbal and written communication skills
Upholds in maintaining confidentiality
Demonstrated analytical and problem solving skills
Demonstrated excellent customer service skills
Excellent organizational and time management skills
Ability to work independently and also as part of a team
