We are seeking a professional organized and friendly Front Office School Receptionist to be the first point of contact for students parents staff and visitors. The ideal candidate will have excellent communication skills strong multitasking abilities and a positive customerserviceoriented attitude. As a Front Office School Receptionist you will play a vital role in maintaining smooth school operations and ensuring a welcoming and efficient environment for everyone.
Greeting Visitors: Welcome and direct students parents staff and visitors with a friendly professional demeanor. Ensure that visitors sign in and follow school safety protocols.
Answering Phones: Answer incoming calls respond to inquiries and redirect calls to the appropriate staff members as needed. Provide accurate information about school events schedules and policies.
Managing Emails and Correspondence: Handle general email inquiries forward messages and assist with other forms of communication as needed.
Maintaining Records: Assist with maintaining student records attendance logs and other administrative files. Update school directories and other important documents.
Scheduling Appointments: Coordinate and schedule appointments for administrators staff and parents. Manage meeting room bookings and maintain school calendar.
Student Assistance: Assist students with various needs including providing passes notifying staff about student arrivals or departures and handling messages.
Managing School Supplies: Oversee the supply inventory for the front office and other departments including ordering and maintaining necessary office materials.
Handling Mail and Packages: Sort and distribute incoming mail and packages to the appropriate staff members.
Supporting Office Administration: Provide general administrative support to school leadership and staff including filing photocopying and preparing documents.
Ensuring Safety and Security: Monitor the schools front entrance and ensure that only authorized individuals enter the building. Follow school safety protocols including assisting with emergency procedures as needed.
Maintaining a Positive School Environment: Help create a welcoming atmosphere by maintaining a clean organized front office area and being a friendly resource for staff students and visitors.
Education: High school diploma or equivalent; some college or postsecondary education preferred.
Experience: Previous office or receptionist experience ideally in a school or educational setting.
Skills:
Strong verbal and written communication skills.
Excellent organizational and multitasking abilities.
Proficiency with office software (e.g. Microsoft Office Suite Google Workspace).
Ability to remain calm and professional in a busy fastpaced environment.
Strong interpersonal skills and a positive attitude when interacting with students parents and staff.
Ability to maintain confidentiality and handle sensitive information.
