Reports to: Bookstore Director

The Bookstore Operations Specialist plays a vital role in supporting the Bookstore Director in the daily operations and strategic initiatives of our newly transitioning collegeoperated bookstore. This position helps ensure the bookstore effectively serves students faculty and the campus community while maintaining a focus on affordability accessibility and student success. The Assistant Manager will be responsible for supervising staff financial reporting managing inventory supporting course material adoptions and assisting with customer service excellence.

Essential Functions

  • Assist in Management of the daily operations of the college bookstore including opening/closing procedures cash handling
  • Supervise and schedule bookstore staff including student employees ensuring adequate coverage during peak periods
  • Help manage inventory control systems including receiving shelving and returns processes
  • Coordinate with vendors and publishers on orders deliveries and returns
  • Assist in implementing and maintaining the online ordering system and ecommerce platform
  • Manage pointofsale operations and troubleshoot technical issues as needed
  • Assist with the course material adoption process communicating with faculty about deadlines and options
  • Process and fulfill course material orders ensuring accurate and timely availability
  • Support OER initiatives and other affordability programs
  • Coordinate with the Resource Center to ensure students with financial need have access to required materials
  • Assist students with course material selection explaining various formats
  • Manage the used book program including buyback events and inventory management
  • Manage daily reconciliation deposits and comprehensive financial recordkeeping systems
  • Prepare detailed financial reports for the Accounting Office including monthly sales summaries revenue categorizations and expense tracking
  • Reconcile vendor invoices against purchase orders and received inventory ensuring accuracy before submission for payment
  • Review and verify all financial transactions identifying and resolving discrepancies promptly
  • Develop and implement sales reports and inventory analyses for the Bookstore Director identifying trends and recommending strategic adjustments
  • Support budget planning by tracking expenses and identifying costsaving opportunities
  • Maintain financial documentation standards for audit purposes and compliance
  • Interpret financial policies and procedures for the bookstore that align with institutional goals and regulatory requirements
  • Lead all coordination with the Accounting Office on fiscal matters including endofmonth and endoffiscalyear closing procedures
  • Prepare quarterly and annual financial status reports required for compliance with institutional state and federal regulations
  • Execute merchandising strategies for apparel supplies and campusbranded items
  • Assist in the selection and display of merchandise ensuring attractive and effective presentation
  • Help coordinate with campus departments on special merchandise needs for events and programs
  • Support sustainability initiatives in product selection and display
  • Design and execute seasonal floor plan changes and promotional displays
  • Provide excellent customer service to students faculty staff and campus visitors
  • Assist with handling customer concerns returns and special orders
  • Help train staff on customer service standards and bookstore policies
  • Support bookstore marketing efforts including social media and oncampus promotions
  • Assist with special events author signings and promotional activities
  • Represent the bookstore at relevant campus events and meetings when needed
  • Partner with Food Services to establish and manage a selection of affordable nutritious grabandgo food options that serve students outside regular cafeteria hours
  • Assist in gathering general student feedback on bookstore offerings including food options and relay this information to appropriate departments for continuous improvement
  • Support campus wellness initiatives by ensuring accessible food options for students with dietary restrictions or limited budgets
  • Supervise student employees providing mentorship and professional development
  • Create training materials and procedures for bookstore staff
  • Support financial literacy initiatives for student employees and customers
  • Model and enforce high standards of professionalism and service

Qualifications

Minimum Qualifications

  • Associates degree or equivalent combination of education and experience
  • 2 years of retail management or bookstore experience
  • Supervisory experience and ability to lead a diverse team
  • Strong computer skills including pointofsale systems and inventory management software
  • Demonstrated commitment to student success and educational affordability
  • Ability to work a flexible schedule including some evenings and weekends during peak periods
Desired Qualifications
  • Experience in a college bookstore or higher education setting
  • Knowledge of textbook industry trends and digital learning materials
  • Experience with ecommerce platforms and online order fulfillment

Additional Information

Please note that we are unable to sponsor visas for this position. Only candidates who are currently authorized to work in the United States will be considered.

This is a fulltime classified position scheduled to work XX hours a week with a salary range of $67716 $91086annually.All classified positions will start their salary at Step A when you have completed six months of probation you will receive a 5 percent pay increase. A collective bargaining agreement exists and this position is covered by the Washington Public Employees Associate (WPEA) Union. Classified positions qualify for the following benefits:
