Job Description

QUEL EST LE TRAVAIL

Lassistant(e) superviseur est responsable assister le/la superviseur(e) de camp sur la gestion administrative et logistique des dpartements de la restauration et de lentretien mnager du camp.

Les tches et responsabilits de lassistant(e) superviseur comprennent sans sy limiter les suivantes :

  • Gestion des horaires des avions : lemploy doit vrifier et maintenir lhoraire chaque semaine en fonction des besoins.
  • Rservation des avions sur demande.
  • Vrifier lexactitude des informations telles que le nom le numro de tlphone et les indemnits de dplacement quotidiennement ou en cas de modification.
  • Prvention des absences. Contacter chaque semaine les travailleurs se rendant sur le site afin de garantir leur prsence. La liste des passagers doit tre vrifie plusieurs fois par semaine pour garantir son exactitude. En cas derreur celleci doit tre corrige et un vol doit tre annul ou ajout si ncessaire. La comprhension du protocole de vol est essentielle.
  • Assister le superviseur de camp en remplissant tous les formulaires tels que les formulaires de cessation demploi les avertissements etc. selon les besoins ou les demandes.
  • Tenir jour une liste hebdomadaire de toutes les formations (elearning et confrences) et tenir jour un tableau de suivi communiquer au conseiller RH concernant les formations ncessaires.
  • Numriser nommer et classer correctement tous les documents relatifs la gestion des employs.
  • Assister la rception lors des dparts si ncessaire.
  • Participer au processus dembauche dun employ du Nord (temporaire jusqu nouvel ordre).
  • Effectuer les inventaires et les envoyer chaque mois avant le dernier jour du mois.
  • Tenir jour les arrives de chambres (y compris celles du quart de nuit).
  • Informer le conseiller RH des arrives de nouveaux employs de la semaine.
  • Tches lies la sant et la scurit au travail.
  • Participer toute runion requise.
  • Remplir la feuille de temps quotidienne ADP et imprimer la priode de paie venir par service.
  • Toute autre tche requise.

WHATS THE JOB

The Assistant Supervisor is responsible for assisting the Camp Supervisor with the administrative and logistical management of the camps food and housekeeping departments.

The Assistant Supervisors duties and responsibilities include but are not limited to the following:

  • Plane schedule management on a weekly basis the worker must verify and maintain the schedule accordingly to the manpower.
  • Plane booking when requested.
  • Manpower. The admin assistant must maintain the exactitude of the info such as name phone number travel allowance on a daily base or whenever a change is made. The admin assistant is not responsible of maintaining the manpower schedule and should not make any changes without the project supervisor consent.
  • No show prevention. The admin assistant on a weekly basis must be able to contact workers coming to site to secure their presence. Verification of passenger list must be done several times a week to assure its exactitude and in case of mistake they must be corrected and flight canceled or added when necessary. Understanding how to communicate with flight protocol is essential.
  • Assist the camp supervisor by filling all forms such as job termination warning etc. as needed or asked.
  • Maintain a weekly up to date list of all training (elearning and speex) and update a follow up table to be shared with the HR counselor on training needed.
  • Scan properly name and classify all documents related to employees management.
  • Assist front desk in checkouts when necessary.
  • Assist in hiring process for northern employee (temporary until further notice).
  • Inventories to be taken and sent every month before the last day of the month.
  • Maintain room arrivals up to date (including) night shift.
  • Brief the HR counselor on new workers arrivals of the week.
  • Assist any meeting required.
  • Daily ADP timesheet to complete print timesheet pay period to come per department.
  • Any other required tasks.

Qualifications :

Exigences essentielles applicables au poste: 

  • Diplme dtudes collgiales (DEC) en techniques de bureautique lattestation dtudes collgiales (AEC) en techniques de bureautique ou le diplme dtudes professionnelles (DEP) en secrtariat. 
  • Minimum de 2 annes dexprience requis. 
  • Exprience en rservation de vols (considr comme un atout). 
  • Exprience en milieu de travail isol (considr comme un atout). 

COMPTENCES

  • tre laise avec les systmes informatiques : Outlook Excel Teams. 
  • Exprience en administration. 
  • Parler anglais (niveau B2 minumum) la langue dusage au travail est langlais.

  • College diploma (DEC) in office technology college certificate (AEC) in office technology or vocational diploma (DEP) in secretarial studies. 
  • Minimum of 2 years of experience required. 
  • Experience in flight booking (considered an asset). 
  • Experience in an isolated work environment (considered an asset). 

SKILLS

  • Comfortable with computer systems: Outlook Excel Teams. 
  • Experience in administration. 
  • Fluent in English (minimum level B2 the language used at work is English.
